We are looking for a detail-oriented, organized, and proactive Admin Executive to join our team. If you enjoy handling documentation, coordinating with multiple departments, managing tenancy matters, and ensuring smooth administrative operations, this opportunity is for you!

AVAILABLE POSITION

Admin Executive

Support tenancy administration, utility billing, documentation, and coordination tasks to ensure smooth day-to-day operations across departments.

RESPONSIBILITIES

Tenancy Administration

  • Prepare, review, and maintain tenancy agreements, renewals, and related documentation in line with company policies and legal requirements.
  • Maintain an up-to-date tenancy database, tracking lease terms, expiry dates, rental schedules, and key milestones.
  • Liaise with tenants on administrative matters, including rental payments, contract queries, and compliance requirements.
  • Coordinate with HR, Finance, and Operations teams to ensure smooth onboarding and exit processes for tenants.

Utility Billing & Finance Coordination

  • Manage and verify monthly utility billings (electricity, water, gas, and other applicable charges) for tenants, ensuring accurate allocation and timely invoicing.
  • Coordinate with the Finance team to ensure accurate billing and payment processing.
  • Monitor utility consumption records and resolve billing discrepancies by liaising with tenants, utility providers, and internal stakeholders.

Administrative Support

  • Assist the Manager in preparing reports, proposals, and presentations for management review.
  • Support site visits, inspections, and handover processes to ensure premises are ready for tenant occupancy.
  • Handle correspondence and general administrative support to ensure smooth departmental operations.

Documentation & Records Management

  • Maintain proper documentation, filing, and record-keeping systems for all tenancy-related matters.
  • Ensure all records are accurate, organized, and easily accessible in compliance with company procedures.
  • Perform any other duties as assigned by Management from time to time.
