Job Description

Responsibilities

Job Summary

The Sales Coordinator is responsible for coordinating between customers and the company’s internal graphic team, outsourced graphic team, production team, and other related departments to ensure smooth order processing and timely customer response.

The role includes handling customer enquiries, receiving artwork and purchase orders, issuing artwork amendment requests, preparing job sheets for production, and following up on job progress to provide accurate updates to customers. This position plays an important role in maintaining efficient communication flow and supporting overall customer service performance.

Key Responsibilities

Customer Communication & Coordination

  • Answer incoming customer calls and respond to customer enquiries in a timely manner.
  • Reply to customer messages, WhatsApp, and emails regarding orders, artwork, job progress, and delivery updates.
  • Act as a coordination point between customers and the internal graphic / DTP team as well as outsourced graphic team.
  • Build good communication and maintain positive customer relationships through prompt and accurate follow-up.

Order Processing & Documentation

  • Receive customer Purchase Orders (PO) and verify the job information.
  • Issue Job Sheets to Production based on confirmed customer orders and artwork requirements.
  • Receive customer artwork files and ensure the artwork is properly recorded and forwarded to the relevant team.
  • Issue Artwork Amendment requests based on customer revisions or changes.

Job Progress Follow-Up

  • Follow up internally on artwork status, cylinder status, reject status, delivery status, and ETA of cylinder completion.
  • Coordinate with Production, DTP / Graphic team, QA / QC, and related departments to obtain the latest job progress information.
  • Update customers on order progress, delivery timeline, artwork amendments, and any job-related issues.

Team Support & Backup Function

  • Support the 3 Senior Sales Coordinators in daily coordination work and customer service matters.
  • Provide backup support when any of the Senior Sales Coordinators are on leave or unavailable.
  • Undergo training and gradually develop the capability to handle customer accounts independently.

Administrative & Reporting Support

  • Maintain proper records of customer orders, artwork amendments, and job progress follow-up.
  • Update internal tracking sheets, Google Sheets, or relevant job monitoring systems accurately.
  • Assist in ensuring all customer communication and order-related information is well documented.

4. Requirements / Qualification

  • Diploma / Degree in Sales, Business Administration, Marketing, Graphic Design, Printing Technology, or other related field.
  • Candidates with education background or working experience in the printing industry, packaging industry, customer service, sales coordination, or artwork coordination are encouraged to apply.
  • Fresh graduates are welcome to apply.

5. Skills & Competencies Required

  • Good communication and coordination skills.
  • Able to communicate with customers confidently and professionally.
  • Able to work closely with internal departments such as Sales, DTP / Graphic, Production, and QA / QC.
  • Good follow-up and multitasking ability.
  • Able to handle multiple customer requests, urgent follow-up, and job coordination at the same time.
  • Responsible, organized, and able to work under pressure in a fast-paced environment.
  • Willing to learn and develop into an independent customer account handling role.

6. Technical / Software Requirements

  • Familiar with Microsoft Office such as Excel, Word, and Outlook.
  • Familiar with Google Sheets and basic online documentation / tracking tools.
  • Knowledge of Adobe Illustrator will be an added advantage.
  • Candidates with graphic design knowledge or artwork handling exposure will have added advantage.

7. Preferred Background

Preference will be given to candidates with:

  • Experience in printing, packaging, artwork, pre-press, gravure, flexible packaging, or related manufacturing industry.
  • Experience in sales coordination, customer service, artwork handling, or order processing environment.
  • Graphic design background or ability to understand artwork amendment and printing-related workflow.
