Job Description

Responsibilities

Job Responsibilities :

  • Receive and process customer purchase orders (PO) via email or sales person, prepare artwork, and key in details accurately into the Unity system.
  • Generate Sales Orders (SO), label each artwork with important details (PO number, quantity, delivery date, SO number), and coordinate with the Purchaser for raw material orders.
  • Maintain proper documentation, filing, and update delivery schedules according to customer requirements.
  • Liaise with Marketing, Planning, and Warehouse Departments on order progress, production status, and delivery arrangements.
  • Communicate promptly on any delays, urgent or postponed deliveries, and seek advice from the Planner for rescheduling.
  • Update customer files and inform Marketing regarding delivery readiness or pending items.
  • Email artwork to the Design Department and ensure accuracy before submission.
  • Monitor and follow up closely with the Planner for items that cannot be delivered on time.
  • Prepare monthly reports such as production schedules, capacity planning, and customer complaints.
  • Possess a full understanding of company products and applications, and provide accurate information and assistance to customers.
  • Identify and report any abnormalities in orders, pricing, or delivery matters.
  • Attend to customer inquiries and phone calls professionally.
  • Perform any additional or ad-hoc tasks assigned by the Head of Department (HOD).

Job Requirements:

  • Minimum Diploma or Degree in Business Administration or related field.
  • Monthly salary will be determined based on your experience.
  • At least 2–4 years of experience in Customer Service, Sales Admin, or related role.
  • Familiar with order processing, PO/SO handling, and documentation.
  • Proficient in Microsoft Office and experience with ERP systems (e.g., Unity) is an advantage.
  • Good communication skills in English and Bahasa Malaysia (Mandarin is an added advantage).
  • Strong coordination skills to liaise with internal departments (Marketing, Planning, Warehouse).
  • Detail-oriented with good organizational and filing skills.
  • Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
  • Problem-solving skills and ability to manage delivery issues, delays, and customer inquiries.
  • Responsible, proactive, and able to work independently with minimal supervision.
  • Good customer service mindset with professional phone etiquette.
