We are seeking a detailed and organised IT Office Administration Manager to join our team. This role is responsible for overseeing the daily administrative operations of the IT department and ensuring smooth coordination between technical teams, office staff, management, and external stakeholders. You’ll play a key role in managing appointments, office resources, training administration, onboarding and offboarding coordination, records management, and compliance with organizational policies to support an efficient and well-run IT office environment.
Role Responsibilities:
Appointment Management
- Schedules and manages appointments and meetings efficiently for supervisor and the team.
- Acts as the point of contact for internal and external stakeholders, managing phone calls, emails and visitor inquiries.
- Coordinates meetings, conferences, and travel arrangements for staff as well as ensuring all logistics are handled efficiently.
- Assists in organising office events, including staff meetings, training sessions, and social gatherings.
Administrative Support
- Provides day-to-day office administration support to IT department and proficient in the operation and troubleshooting of office equipment to ensure smooth daily operations.
- Responsible for implementing and maintaining processes and systems that support strategic HR initiatives for the various HR functions.
- Facilitates the onboarding/offboarding process of Team Members and contractors.
- Oversees office supplies and equipment, ensuring stock levels are maintained and ordering supplies as needed.
- Maintains and organises electronic and paper filing systems, ensuring accuracy and accessibility of records.
Training
- Coordinates with training providers and HR Training on training related matters.
- Performs routine learning administration-related activities.
- Facilitates the coordination of the organisation's products and services by liaising with vendors and relevant stakeholders, managing learner records and updating learning management systems.
Role Requirements:
Required Qualifications
- Bachelor’s Degree in Business Administration, Business Management, Accounting, or a related field.
- 2 - 5 years of administrative experience or experience in managing IT support operations, preferably in a related field.
