Job Description

Responsibilities

The Senior Admin Executive is responsible for overseeing daily administrative operations, supporting the Admin Manager in managing office administration, company insurance matters, licenses, regulatory compliance, and coordinating administrative activities across the organization. The role requires a proactive individual who is willing to travel for government authority matters, site visits, and company-related administrative assignments.

Key Responsibilities

Administrative Management

  • Assist the Admin Manager in overseeing the overall administration functions of the company.
  • Ensure smooth day-to-day administrative operations and office management.
  • Develop, review, and maintain administrative procedures, policies, and documentation.
  • Coordinate office maintenance, office equipment, and general administrative support services.
  • Manage company records, filing systems, and document control processes.

License & Regulatory Compliance

  • Monitor, renew, and maintain all company licenses, permits, and statutory approvals.
  • Liaise with government authorities, local councils, and regulatory bodies regarding licensing and compliance matters.
  • Ensure all licenses and permits remain valid and comply with applicable regulations.
  • Maintain proper records of submissions, approvals, and renewal schedules.

Insurance Administration

  • Coordinate and manage all company insurance policies, including fire, burglary, public liability, and other relevant insurance coverage.
  • Liaise with insurance brokers, agents, and insurers on policy renewals, quotations, claims, and coverage matters.
  • Maintain insurance records and ensure adequate insurance protection for company assets and operations.
  • Assist in insurance claims documentation and claim submission processes.
  • for office supplies and administrative requirements.

Coordination & Communication

  • Act as a liaison between departments, external parties, consultants, contractors, and government agencies.
  • Follow up on administrative matters and ensure timely completion of assigned tasks.
  • Coordinate with various stakeholders to facilitate smooth business operations.

Travel & Site Support

  • Attend meetings, site visits, inspections, and government authority appointments when required.
  • Travel to company branches, project sites, or government offices for administrative and licensing matters.
  • Provide administrative support during audits, inspections, and compliance reviews.

Additional Responsibilities

  • Assist the Admin Manager in special projects and ad-hoc assignments.
  • Supervise junior administrative staff when necessary.
  • Perform any other duties assigned by Management from time to time.

Requirements

  • Bachelor's Degree or Diploma in Business Administration, Management, or related field.
  • Minimum 5 years of working experience in administration, licensing, insurance, or related functions.
  • Strong knowledge of administrative procedures and regulatory compliance.
  • Experience in handling company insurance matters and license renewals.
  • Good communication and interpersonal skills.
  • Strong organizational and problem-solving abilities.
  • Proficient in Microsoft Office applications.
  • Possess a valid driving license and own transport.
  • Willing to travel as required for business operations and government-related matters.

Preferred Skills

  • Experience dealing with local authorities, government agencies, and insurance companies.
  • Ability to work independently with minimal supervision.
  • Strong multitasking and time management skills.
  • Good report writing and documentation skills.

Pay: RM2,700.00 - RM4,500.00 per month
