Job Description

Responsibilities

We are looking for a detail-oriented HR & Admin Executive to support day-to-day HR operations across the full employee lifecycle. This role focuses on execution, coordination, and administration of HR processes, ensuring accuracy, compliance, and smooth delivery of HR services.

Job Duties & Responsibilities

Recruitment & Onboarding

  • Manage the full recruitment cycle from job postings to offer stage, including candidate screening, interview coordination, reference checks, and preparation of employment documentation.
  • Ensure completeness and accuracy of hiring documents, including background checks, certifications, and work pass applications where required.
  • Coordinate pre-onboarding and onboarding activities such as document collection, system access requests, and orientation scheduling to ensure a smooth employee onboarding experience.
  • Maintain recruitment trackers and candidate records to ensure proper documentation and audit readiness.

HR Operations & Administration

  • Maintain and update employee records (digital and physical personnel files), ensuring all documentation is complete, properly filed, and compliant with company and statutory requirements.
  • Coordinate offboarding processes, including resignation documentation, clearance, and exit-related administrative requirements.
  • Support the day-to-day HR administrative function, including documentation management, letter preparation, and coordination of HR-related activities.
  • Ensure all HR documentation and processes are standardized, traceable, and audit-ready.

Compensation & Benefits Administration

  • Administer payroll inputs, including attendance, leave, and claims data, ensuring accuracy and timely submission.
  • Process claims reimbursement, leave administration, statutory contributions, and benefits enrollments in accordance with company policies and local regulations.
  • Maintain and update records related to compensation and benefits transactions, ensuring proper documentation and reconciliation.
  • Support salary benchmarking and HR reporting by compiling relevant data as required.

Performance Management

  • Coordinate and administer performance management cycles, including probation and/or performance reviews, KPI tracking, and annual or mid-year appraisals.
  • Monitor timelines and follow up with managers and employees to ensure timely completion of performance reviews.
  • Maintain performance records and documentation, ensuring completeness, accuracy, and confidentiality.

Learning & Development

  • Coordinate training programs, onboarding orientations, and compliance briefings to support employee development and regulatory requirements.
  • Manage training logistics, including scheduling, attendance tracking, and documentation.
  • Maintain up-to-date training records and support reporting on employee learning participation.

Employee Engagement

  • Support the execution of employee engagement initiatives, wellness programs, and company events aimed at enhancing employee experience.
  • Coordinate communication and logistics for engagement activities, including internal campaigns and feedback initiatives.
  • Track participation and maintain engagement-related records and reports.

Employee Relations Support

  • Serve as a first point of contact for HR-related queries and provide guidance on HR processes and policies.
  • Support employee relations matters by assisting with documentation, case tracking, and coordination of discussions or meetings.
  • Ensure all employee-related matters are handled professionally, confidentially, and in accordance with company guidelines.

HR Systems & Reporting

  • Maintain HR systems and ensure timely and accurate updates of employee data, recruitment records, and HR transactions.
  • Generate and maintain HR reports and dashboards to support tracking of recruitment, performance, training, and other HR metrics.
  • Support data accuracy checks and ensure consistency of HR information across systems.

Compliance & Policies

  • Ensure HR operations comply with applicable labor laws, statutory requirements, and internal company policies.
  • Support the documentation and maintenance of HR policies, SOPs, and employee guidelines.
  • Assist in audit preparation by ensuring that required HR documentation and records are complete and accessible.

Qualifications & Skills

  • Bachelor's degree in human resources or BS Psychology course.
  • Open for HR & Admin Executive to Senior HR & Admin Executive role with minimum 3+ years proven and related HR Ops experience
  • Must be familiar with local statutory regulations and possess sound knowledge of the employment act and best practices in Singapore
  • Proficiency in MS Office (Word/Excel/Outlook), AI tools, MS Teams, Planners & Report Analytics generator
  • Good administrative, documentation & written/oral communication skills
  • Able to work independently, apply established SOPs and policies to routine HR matters, make sound operational decisions, and escalate non-standard cases appropriately.
  • Demonstrate a strong sense of urgency, meticulous, able to multi-task, detail-oriented, people-focused, proactive, and able to work under pressure.
  • A team player who is able to work well with all levels
  • Possess strong interpersonal and communication skills
