Job Description

Responsibilities

Key Responsibilities

  • Provide general administrative and clerical support to the management team.
  • Maintain accurate filing systems and company records.
  • Prepare reports, correspondence, and other documentation as required.
  • Handle emails, and customer inquiries professionally.
  • Arrange and coordinate deliveries with customers, suppliers, and logistics providers.
  • Monitor delivery schedules and ensure timely fulfillment of orders.
  • Follow up on delivery status and resolve any delivery-related issues.
  • Perform stock cut and update inventory systems accordingly.
  • Report stock discrepancies and coordinate corrective actions.
  • Prepare and issue invoices accurately and promptly.
  • Verify sales orders, delivery orders, and supporting documents before invoicing.
  • Maintain invoice records and ensure proper filing.
  • Follow up on outstanding invoices and coordinate with customers when necessary
  • Monitor daily operational activities to ensure smooth workflow.
  • Coordinate with various departments to support operational requirements.

·       Performad hoc administrative duties and other responsibilities as assigned

Requirements

  • Minimum Diploma qualification, or 3–5 years of relevant administrative experience.
  • Experience with inventory management and invoicing systems is an advantage.
  • Proficient in Microsoft Office applications (Excel, Word, Outlook).
  • Strong organizational, multitasking, and communication skills.
  • Able to work independently and meet deadlines.
  • Attention to detail and accuracy in data entry and record keeping.

Preferred Skills

  • Knowledge of inventory control and logistics coordination.
  • Experience using accounting, or invoicing systems.
  • Ability to prepare and process invoices, purchase orders, delivery orders, and related documentation accurately.
  • Good understanding of basic accounting and administrative procedures.
