Job Description

Responsibilities

Key Responsibilities

  • Oversee and manage the daily operations of the Administration Department.
  • Supervise and lead the Administration team to ensure efficient office operations.
  • Oversee Human Resources functions, including recruitment, onboarding, employee records, training coordination, leave administration, performance management, disciplinary matters, and employee engagement.
  • Ensure compliance with Malaysian labour laws, statutory requirements, and company policies.
  • Oversee the Purchasing Department, including procurement planning, supplier sourcing, quotation evaluation, Purchase Order (PO) processing, and inventory coordination.
  • Manage procurement for office supplies, machinery, equipment, solar projects, and other capital expenditure (CAPEX) purchases.
  • Oversee the Sales Administration and Logistics functions, including order processing, delivery scheduling, shipping coordination, and customer documentation.
  • Coordinate with Production, Warehouse, Finance, and Sales departments to ensure smooth business operations.
  • Manage office administration, company assets, maintenance, facilities, security, cleaners, and service providers.
  • Review and improve administrative policies, procedures, and internal control systems.
  • Coordinate company insurance, business licences, tenancy agreements, and corporate documentation.
  • Liaise with government authorities, external auditors, bankers, legal advisors, suppliers, and business partners.
  • Support ISO documentation, internal audits, and compliance with quality management systems.
  • Prepare departmental budgets, reports, and presentations for Management.
  • Lead, coach, and develop team members to improve performance and operational efficiency.
  • Handle ad hoc projects and perform any other duties assigned by Management.

Job Requirements

  • Bachelor's Degree or Diploma in Business Administration, Human Resources, Management, or a related field.
  • Minimum 5 years of relevant working experience, with at least 2 years in a supervisory or managerial role.
  • Experience in a manufacturing environment is preferred.
  • Good knowledge of HR practices, administration, procurement, and sales administration.
  • Familiar with ERP systems and Microsoft Office applications.
  • Strong leadership, communication, negotiation, and problem-solving skills.
  • Able to work independently, manage multiple priorities, and meet deadlines.
  • Proficient in English, Bahasa Malaysia, and Mandarin is an added advantage.

Pay: RM3,500.00 - RM7,000.00 per month
