Role Description The Administrative Manager is a full-time, remote role responsible for overseeing daily administrative operations and supporting efficient organizational workflows. This role coordinates scheduling, meetings, and communications across teams, maintains records and documentation, and ensures that internal processes and policies are followed. The Administrative Manager will manage administrative support staff or contractors where applicable, handle general office and vendor coordination in a virtual environment, and assist with budgeting, reporting, and resource allocation. The role also involves preparing presentations and reports, monitoring project timelines, supporting HR-related administrative tasks, and continuously improving administrative procedures to support Insight Genesis – IGAi’s mission and growth.

  • Strong administrative and organizational skills, including scheduling, calendar management, documentation, and record-keeping.
  • Operational and process management capabilities, such as workflow optimization, policy implementation, and basic project coordination.
  • Proficiency with digital tools and remote collaboration platforms (e.g., office productivity suites, project management software, video conferencing tools).
  • Effective communication skills, including clear written and verbal communication, stakeholder coordination, and professional email and document preparation.
  • Experience with basic budgeting, reporting, and data entry, with attention to accuracy and confidentiality.
  • Ability to work independently in a remote environment, manage multiple priorities, and meet deadlines with minimal supervision.
  • Prior experience in administrative management or office management; experience in tech, AI, or data-driven organizations is an advantage.
  • Bachelor’s degree in Business Administration, Management, or a related field, or equivalent relevant experience.
  • Familiarity with HR administration, vendor management, and compliance support is beneficial.
