Our client is a fast-growing, PE-backed technology infrastructure company headquartered in Singapore, with operations across Southeast Asia. As they scale rapidly across multiple markets, they're looking for a hands-on, operationally sharp Team Assistant / Office Manager to be the administrative backbone of their Singapore office.
This is not a traditional admin role. You'll be supporting a senior leadership team of seven across a broad remit — from board-level meeting coordination to office operations — and will be the go-to person that keeps things running behind the scenes.
What you'll be doing:
Executive & Leadership Support
- Coordinate and support board meetings, sub-committee meetings, and client visits — including preparation of minutes, presentations, and supporting materials
- Support 7 senior stakeholders across administrative needs
- Track action items and follow up on key deliverables across the leadership team
Corporate & Document Administration
- Manage document preparation and processing — letterheads, tender documents, purchase orders, invoices, and internal signoff workflows
- Liaise with external vendors and service providers on procurement and facilities matters
- Maintain accurate records and ensure timely turnaround on administrative workflows
Office & People Operations
- Oversee day-to-day office operations across the Singapore headquarters, with coordination touchpoints to the Philippines and Malaysia offices
- Manage office supplies, facilities, and vendor relationships
- Support employee onboarding and offboarding logistics
- Assist with employee engagement activities and internal initiatives as the business grows
What they're looking for:
- 3–5 years of experience in an administrative, office management, or team support role
- Prior exposure to a startup, scaleup, or fast-moving environment — this is non-negotiable
- Experience supporting multiple senior stakeholders simultaneously
- Comfortable with document-heavy administrative work (procurement docs, invoices, corporate correspondence)
- Proficiency in Mandarin is preferred
