Key Responsibilities
1. Human Resource Operations
- Manage the full employee lifecycle, including recruitment, onboarding, confirmation, transfers, promotions, and separations.
- Maintain accurate employee records and HR databases.
- Ensure compliance with company policies and statutory requirements.
- Serve as the primary HR contact for operational employees and management.
2. Recruitment & Workforce Planning
- Coordinate recruitment activities from sourcing to onboarding.
- Manage hiring for operational and administrative positions.
- Build talent pipelines and support workforce planning initiatives.
- Participate in job fairs and recruitment campaigns.
3. Employee Relations & Discipline
- Handle employee grievances, workplace issues, and disciplinary matters.
- Conduct investigations and prepare warning letters, show-cause letters, counseling records, and investigation reports.
- Support domestic inquiries and disciplinary hearings.
- Promote positive employee relations and workplace culture.
4. Attendance & Leave Management
- Monitor attendance, absenteeism, punctuality, overtime, and leave records.
- Investigate attendance-related issues and provide recommendations.
- Coordinate attendance reporting and manpower planning support.
5. SOP Development & Process Improvement
- Develop, review, and implement SOPs for HR and operational departments.
- Conduct SOP awareness and training sessions.
- Recommend process improvements to enhance efficiency and compliance.
6. Compliance & Audit
- Ensure compliance with Employment Act 1955, Industrial Relations Act 1967, and occupational safety requirements.
- Conduct HR compliance audits and maintain audit-ready records.
- Identify and mitigate HR-related operational risks.
7. Training & Employee Development
- Coordinate employee training programs and training records.
- Conduct training needs analysis with department heads.
- Evaluate training effectiveness and employee development progress.
8. Employee Engagement
- Organize employee engagement activities and welfare initiatives.
- Monitor employee turnover trends and retention programs.
- Support initiatives to improve employee satisfaction and morale.
9. HR Administration
- Manage employee files, uniforms, access cards, company assets, accommodation records, and operational documentation.
- Liaise with government agencies, vendors, and external service providers when required.
10. Reporting & Analytics
- Prepare recruitment, headcount, turnover, attendance, disciplinary, and HR operational reports.
- Analyze HR data and provide recommendations to management.
- Maintain HR dashboards and KPI tracking reports.
11. Cross-Functional Support
- Collaborate with Operations, Fleet, Warehouse, Finance, Administration, and Management teams.
- Support manpower planning, business expansion, and continuous improvement projects.
- Perform ad hoc assignments and special projects as assigned by Management.
Requirements
Education
- Diploma or Bachelor's Degree in Human Resource Management, Business Administration, Management, or related field.
Experience
- Minimum 2–5 years of HR operational experience.
- Experience in logistics, haulage, transportation, warehouse, or supply chain industries is highly preferred.
- Experience handling recruitment, employee relations, disciplinary matters, and HR compliance.
Knowledge & Skills
- Good knowledge of Malaysian Employment Act, Industrial Relations Act, and HR best practices.
- Strong recruitment and interviewing skills.
- Experience in handling disciplinary investigations and employee relations matters.
- Proficient in Microsoft Office applications (Excel, Word, PowerPoint).
- Strong report writing, analytical, and problem-solving skills.
- Ability to develop and implement SOPs and HR processes.
