Job Description
Responsibilities
Human Resource (HR)
Manage end-to-end recruitment process (job posting, screening, interview arrangement, onboarding) with cost-effective methods
Prepare HR documents including Offer Letters, NDAs, Service Agreements, Confirmation Letters, and Warning Letters
Maintain employee personal files (P-File) and HR records accurately
Handle employee work permit applications and renewals
Manage employee attendance records and time tracking system
Administer employee benefits and insurance claims
Ensure compliance with employment laws and assist in updating Employee Handbook
Provide support in HR administrative matters and policy implementation
Achieve monthly and annual sales targets set by management.
Follow up on customer inquiries and maintain accurate sales records.
Administration & Office Management
Manage incoming and outgoing company correspondence (letters, documents, notices)
Sort, prioritize, and distribute important documents to relevant departments promptly
Support general office administration tasks and daily operational needs
Assist in organizing meetings and prepare meeting minutes independently
Manage office systems including IT platforms (e.g. JustLogin, Studio Managers) and user access
Ensure smooth daily office operations and assist in ad-hoc administrative tasksFinance & Documentation Support
Organize, scan, file, and maintain financial receipts and supporting documents
Assist in preparing and verifying financial and audit-related documents
Support data collection for annual financial reports and audit requirements
Assist in vendor cost tracking and administrative finance documentation
Ensure proper documentation control for internal and external audit purposesLicensing & Government Administration
Assist in application and renewal of company licenses (clinic, machinery, products, etc.)
Prepare and submit documents to government agencies or relevant authorities
Support compliance-related administrative submissionsManagement & Corporate Support
Assist in preparation of Board Resolutions, bank documents, tenancy agreements, and corporate paperwork
Support share transfer documentation and company administrative matters
Assist management with personal administrative tasks when required (e.g. document renewal)
Assist in translation of documents when necessary
Support preparation of meeting minutes for management meetingsGeneral Office Support
Perform daily attendance marking and reporting
Assist in basic office support tasks to ensure smooth operations
Help in office coordination including basic IT and system support
Assist in ad-hoc tasks assigned by management
Maintain a positive and supportive working environment
Requirements
Minimum Higher Secondary / Pre-U / Diploma in any field
Minimum 3 year experience in HR, Admin, or Finance-related roles
Proficient in Microsoft Office (Word, Excel, PowerPoint)
Strong administrative, organizational, and documentation skills
Good command of English and Bahasa Malaysia (written & spoken)
Able to work independently, multitask, and handle fast-paced environment
