Job Sumarry
A basic clerical role supporting EHS and waste management compliance, involving data entry, document filing, ECN processing, inventory record keeping, and assisting with regulatory reporting under DOE eSWIS and ISO requirements.
Responsibility and Authority
- Coordinate and process Electronic Consignment Notes (ECN) through the DOE eSWIS system.
- Liaise with operations, warehouse, marketing and finance personnel to obtain and verify information required for ECN acceptances.
- Monitor ECN status and ensure all transactions are completed within the required timeframe in the eSWIS system.
- Maintain ECN records and supporting documents in accordance with DOE and company requirements.
- Prepare monthly reports to DOE, including Lampiran D, Lampiran E, Borang Pindaan, TWG and other regulatory submissions.
- Monitor scheduled waste inventory records and ensure compliance with the 20-metric-ton and 180-day storage requirements.
- Maintain and update TWG records and monitor approval status.
- Control documents, including issuance, revision, distribution, retrieval and disposal of obsolete documents in accordance with ISO requirements.
- Maintain the Master List of Documents and ensure all controlled documents are current and properly distributed.
- Ensure all licenses, permits, approvals and certificates are maintained and renewed before expiry.
- Maintain records of waste transportation, disposal certificates, consignment notes and supporting documentation.
- Coordinate with transporters to ensure documentation complies with DOE requirements and Lampiran B requirements.
- Prepare finished goods inventory records and update stock cards for inventory control.
- Update non-hazardous waste disposal records and coordinate documentation with the Finance Department.
- Perform filing, data entry and administrative support for the EHS Department.
- Participate in Safety & Health Committee and Emergency Response Team (ERT) activities.
- Perform 6S activities to maintain a clean, organized and healthy workplace.
- Other task assigned by the superior.
Minimum Requirements
- SPM qualification or equivalent; candidates with a Diploma qualification will have an added advantage;
- Fresh graduates are encouraged to apply:

Pay: RM1,700.00 - RM2,500.00 per month
