Job description:

Be Part of a Growing Organization Driving Malaysia's Essential Infrastructure

We are a rapidly growing supply-chain company specializing in bulk cement trading and distribution across Peninsular Malaysia. Supported by an expanding fleet, in-house workshop facilities, and a workforce of over 200 employees comprising drivers, workshop technicians, operational personnel, and office employees, we are entering an exciting phase of business growth and transformation.

As we continue to strengthen our people capabilities, we are looking for a passionate and driven HR Executive to join our Human Resources team.

This role goes beyond traditional HR administration. You will be involved across the full employee lifecycle—from attracting and onboarding talent, to managing employee relations and industrial relations matters, monitoring attendance and workforce discipline, supporting KPI and performance management, and contributing to a structured and high-performing workforce.

Key Responsibilities

1. Talent Acquisition & Onboarding

  • Manage end-to-end recruitment for operational, technical, and office positions.
  • Work closely with department heads to understand manpower requirements and hiring priorities.
  • Source candidates through job portals, referrals, social media, recruitment agencies, career fairs, and other recruitment channels.
  • Conduct candidate screening, interviews, and coordinate hiring processes.
  • Prepare employment offers and onboarding arrangements.
  • Build and maintain talent pipelines for critical positions across drivers, workshop technicians, operational personnel, and office functions.
  • Monitor recruitment progress and provide hiring updates to management.

Onboarding & Culture Alignment

  • Plan and conduct structured onboarding programmes to ensure new employees are effectively integrated into the organization.
  • Introduce the company's business operations, organizational structure, reporting relationships, strategic direction, growth plans, and key business priorities.
  • Brief employees on the Employee Handbook, company policies and procedures, employment terms and conditions, workplace rules, and code of conduct.
  • Communicate workplace safety policies, safety rules, hazard awareness, emergency procedures, and the company's commitment to maintaining a safe and responsible working environment.
  • Ensure employees understand performance expectations, discipline standards, compliance requirements, and workplace responsibilities.
  • Foster a strong understanding of how each department contributes to the overall customer fulfilment process and business success.
  • Explain how drivers, workshop technicians, operational personnel, and office employees work together to support safe, efficient, and timely cement deliveries to customers.
  • Reinforce a collaborative, customer-centric culture that emphasizes teamwork, accountability, safety, discipline, and operational excellence.
  • Drive early employee engagement, cultural alignment, and workforce retention.

2. Employee Relations & Industrial Relations

  • Handle employee disciplinary matters, misconduct investigations, grievances, and counselling sessions.
  • Conduct fact-finding investigations and prepare investigation reports.
  • Prepare warning letters, show-cause letters, and other disciplinary documentation.
  • Coordinate Domestic Inquiry (DI) proceedings when required.
  • Advise supervisors and employees on company policies, procedures, and employment legislation.
  • Maintain proper documentation and records relating to employee and industrial relations matters.
  • Support employee engagement and retention initiatives.

3. Attendance Management & HR Operations

  • Monitor and audit employee attendance, punctuality, absenteeism, and overtime trends.
  • Investigate attendance irregularities and recommend corrective actions.
  • Maintain accurate attendance, leave, and employee records.
  • Ensure compliance with company policies and operational procedures.
  • Support day-to-day HR operations and workforce administration.

4. Performance Management & KPI Administration

  • Coordinate half-yearly performance appraisal exercises.
  • Assist department heads in developing KPIs and performance objectives.
  • Monitor Performance Improvement Plans (PIP) and follow-up actions.
  • Prepare performance-related reports and workforce analysis for management review.
  • Support the implementation and continuous improvement of performance management processes.

5. Training & Employee Development

  • Coordinate internal and external training programmes.
  • Maintain training records and HRD Corp documentation.
  • Support training needs analysis and workforce development initiatives.
  • Assist in developing the skills and capabilities of drivers, workshop technicians, operational personnel, and office employees through structured training and development programmes.
  • Support competency development and succession planning initiatives.

6. HR Administration & Reporting

  • Prepare employment-related documentation, including offer letters, confirmation letters, promotion letters, transfer letters, and disciplinary correspondence.
  • Maintain employee personnel files and ensure the accuracy, completeness, and confidentiality of HR records and databases.
  • Monitor employee probation periods and coordinate performance evaluations with department heads to assess suitability for confirmation, extension, or termination of employment.
  • Manage employee contract renewals by working closely with department heads to evaluate performance, manpower requirements, and retention recommendations.
  • Ensure all driver employment contracts remain valid and up-to-date by tracking contract expiry dates, obtaining written confirmation from drivers on whether they intend to continue employment upon contract expiry, and coordinating contract renewals accordingly. No driver shall be assigned or deployed for operational duties without a valid and duly executed employment contract.
  • Maintain a systematic contract tracking and renewal process to support workforce planning, operational continuity, and compliance requirements.
  • Prepare monthly HR reports, manpower statistics, turnover analysis, recruitment updates, attendance trends, and other workforce-related reports for management review.
  • Support the HR Manager in HR process improvements, policy implementation, compliance initiatives, and special projects.

Requirements

  • Minimum: Diploma in Human Resource Management, Industrial Relations, Business Administration, or a related field.
  • Minimum 5 years of relevant HR experience, preferably in logistics, transportation, manufacturing, or other operational environments.
  • Strong knowledge of Malaysian Employment Act, Industrial Relations practices, and HR best practices.
  • Hands-on experience in recruitment, employee relations, and disciplinary management.
  • Experience managing a blue-collar workforce will be an added advantage.
  • Familiarity with attendance systems, KPI administration, performance management, and HR operations.
  • Strong communication, interpersonal, problem-solving, and stakeholder management skills.
  • Proficient in Microsoft Office applications.
  • Experience with HRIS/HRMS systems will be an added advantage.
  • Able to work independently in a fast-paced environment and manage multiple priorities.
  • Willing to travel occasionally to operational sites and workshop facilities.
  • Ability to communicate in Mandarin will be an added advantage.
