Job Summary
The Workshop Q&A Executive is responsible for overseeing workshop quality assurance activities, maintenance documentation, repair monitoring, compliance requirements, and administrative coordination. This role ensures that all vehicles and equipment are maintained according to company standards, regulatory requirements, and operational needs to maximize fleet reliability and safety.
Key Responsibilities
Quality Assurance & Inspection
- Conduct routine inspections on completed repair and maintenance works to ensure quality standards are met.
- Verify that repairs, servicing, and preventive maintenance activities are carried out according to established procedures and specifications.
- Monitor workshop quality performance and recommend corrective actions for recurring issues.
- Investigate vehicle breakdowns and maintenance-related issues and provide recommendations for improvement.
Workshop Operations & Administration
- Monitor and track maintenance schedules, repair progress, and vehicle downtime.
- Coordinate with workshop supervisors, technicians, and operations personnel to ensure timely completion of repair works.
- Maintain accurate maintenance records, repair histories, service reports, and workshop documentation.
- Ensure all job cards, service reports, and maintenance records are properly completed and filed.
Compliance & Regulatory Requirements
- Coordinate and monitor vehicle inspections, including PUSPAKOM inspections and other statutory requirements.
- Ensure all vehicles comply with safety, roadworthiness, and regulatory requirements.
- Monitor the validity of licenses, permits, inspection certificates, and maintenance records.
Reporting & Analysis
- Prepare maintenance, repair, downtime, and fleet performance reports for management review.
- Analyze maintenance costs, repair trends, and vehicle performance data.
- Monitor workshop KPIs and provide recommendations to improve efficiency and reduce operational costs.
Inventory & Vendor Coordination
- Monitor spare parts usage and coordinate with procurement personnel to ensure parts availability.
- Liaise with external vendors and service providers regarding repairs, maintenance services, and technical support.
- Verify repair quotations, service reports, and invoices from external workshops and suppliers.
Continuous Improvement
- Identify opportunities to improve workshop processes, maintenance planning, and quality standards.
- Support the implementation of maintenance best practices, safety initiatives, and operational improvements.
- Assist in developing and updating workshop SOPs, policies, and procedures.
Other Duties
- Perform any ad hoc assignments and responsibilities as assigned by management from time to time.
Requirements
- Minimum Diploma, or equivalent qualification in related field.
- Minimum 2–4 years of experience in workshop administration, fleet maintenance, automotive service, quality assurance, or related field is preferred.
- Experience in transportation, logistics, or tanker fleet operations will be an added advantage.
- Proficiency in Bahasa Malaysia and English.
- Ability to communicate in Mandarin will be an added advantage.
- Strong knowledge of vehicle maintenance, workshop operations, and fleet management.
- Proficient in Microsoft Office applications (Excel, Word, PowerPoint).

Pay: RM2,500.00 - RM4,000.00 per month
