Responsibilities

Position Summary

The Purchasing Executive is responsible for managing the procurement of materials, components, equipment, and services required for company operations and projects. The role ensures timely purchasing, cost optimization, supplier management, inventory support, and compliance with company procurement policies.

Key ResponsibilitiesProcurement & Purchasing

· Source, evaluate, and negotiate with suppliers to obtain competitive pricing, quality products, and favorable delivery terms.

· Prepare and process Purchase Requisitions (PR), Requests for Quotation (RFQ), Purchase Orders (PO), and supplier contracts.

· Ensure timely procurement of materials, spare parts, tools, equipment, and services to support project and operational requirements.

· Monitor order status and follow up with suppliers to ensure on-time delivery.

Supplier Management

· Develop and maintain strong relationships with existing suppliers.

· Identify and qualify new suppliers to improve cost efficiency and supply reliability.

· Conduct supplier performance evaluations based on quality, delivery, pricing, and service.

· Resolve supplier-related issues, including delivery delays, quality concerns, and non-conformance cases.

Cost Control & Negotiation

· Analyze purchasing costs and recommend cost-saving opportunities.

· Negotiate pricing, payment terms, delivery schedules, and service agreements.

· Support budget control initiatives through effective procurement planning.

Inventory & Material Planning

· Coordinate with warehouse, engineering, project, and production teams to forecast material requirements.

· Monitor inventory levels and ensure adequate stock availability while minimizing excess inventory.

· Support inventory audits and stock reconciliation activities.

Documentation & Compliance

· Maintain accurate procurement records, contracts, quotations, supplier databases, and purchasing reports.

· Ensure purchasing activities comply with company policies, procedures, and quality standards.

· Support ISO, audit, and compliance requirements related to procurement processes.

Cross-Functional Coordination

· Work closely with Engineering, Project Management, Finance, Warehouse, and Operations teams to understand procurement needs.

· Coordinate with the Finance Department regarding supplier payments and invoice verification.

· Provide procurement status updates to management and project teams.

Reporting

· Prepare monthly procurement reports, cost analysis reports, supplier performance reports, and purchasing KPIs.

· Track procurement metrics such as cost savings, supplier delivery performance, and purchase cycle times.

Requirements

· Diploma or Bachelor’s Degree in Supply Chain Management, Business Administration, Procurement, Engineering, or related field.

· Minimum 2–5 years of purchasing or procurement experience, preferably in engineering, automation, manufacturing, or technology industries.

· Strong negotiation and supplier management skills.

· Good analytical, communication, and organizational abilities.

· Proficiency in Microsoft Office (Excel, Word, PowerPoint) and SQL systems.

· Ability to work independently and manage multiple priorities.

Pay: RM2,000.00 - RM3,000.00 per month
