As we continue to grow, we are looking for a proactive and detail-oriented Project Administration Executive to join our team.


About the Role

As a Project Administration Executive, you will play a key role in supporting the planning, coordination, and administration of healthcare projects. You will be responsible for preparing quotations, monitoring project progress, maintaining project documentation, coordinating meetings, and providing administrative support to ensure projects are delivered efficiently and on schedule.


Key Responsibilities :

  • Prepare quotations and other project-related documentation.
  • Coordinate project schedules, timelines, deliverables, and follow-up activities.
  • Monitor project progress and liaise with clients, vendors, and internal teams to ensure timely project delivery.
  • Organize meetings, prepare meeting agendas and minutes, and track action items.
  • Maintain project documentation, records, and filing systems.
  • Support project administration, including procurement, purchase requests, invoicing, and project reporting.
  • Coordinate logistics for meetings, workshops, webinars, and healthcare events.
  • Maintain project trackers and prepare regular status updates.
  • Provide general administrative support to the project team and management.
  • Perform other project coordination and administrative duties as assigned.


Requirements :

  • Bachelor's Degree in Business Administration, Healthcare Management, Communications, Marketing, Life Sciences, or a related field.
  • 1–3 years of experience in project administration, project coordination, administration, or a similar role. Fresh graduates with relevant internship or project experience are encouraged to apply.
  • Strong organizational, planning, and multitasking skills.
  • Excellent written and verbal communication skills in English and Bahasa Malaysia, Mandarin.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Strong attention to detail, problem-solving skills, and the ability to work independently in a fast-paced environment.
  • Experience in healthcare, pharmaceutical, consulting, or agency environments will be an added advantage.

Additional Information :

  • Full-time, on-site position based in 1 Mont Kiara, Kuala Lumpur.
  • Fresh graduates with relevant internship or project experience are encouraged to apply.

  • Salary: RM 2,800 – RM 3,500 per month (depending on qualifications and experience)
