Role Overview
The Accounts Payable (AP) Executive is responsible for the end-to-end disbursement process across multiple entities within the PAM Group. This role requires high attention to detail, strict adherence to financial governance, and the ability to manage multiple sets of accounts with varying compliance requirements.
Key Responsibilities
1. Claims & Document Validation
- Receive and verify all invoices, employee claims, and payment requisitions for accuracy and completeness.
- Ensure all supporting documents (delivery orders, receipts, tax invoices) comply with internal policies and statutory requirements.
- Perform 3-way matching (PO, Delivery Order, and Invoice) where applicable before processing.
2. Payment Processing & System Management
- Prepare Payment Vouchers (PVs) and ensure all necessary internal justifications are attached.
- Coordinate the physical or digital routing of PVs to authorized signatories for timely sign-off.
- Initiate payment uploads/entries in the corporate banking portal for final approval by authorized signatories. If required, prepare cheques for authorized signatories' sign-off.
3. Petty Cash Management
- Act as the custodian for petty cash funds across the entities.
- Process minor disbursements and perform weekly/monthly reconciliations to ensure the float is balanced.
- Manage timely replenishment requests based on established thresholds.
4. Ledger Maintenance & Data Entry
- Perform accurate and timely keying of financial transactions into the accounting system, ensuring precise GL coding and cost centre allocation.
- Maintain the integrity of the ledger by verifying that all entries match the validated supporting documentation.
- Ensure all accounting records are updated daily to reflect the current financial position of each entity.
5. Budget Tracking & Audit Support
- Maintain a monthly tracker of all payments made to monitor actual spend against approved budgets.
- Flag potential budget overruns to management during the payment cycle.
- Assist in preparing schedules and reports for monthly management meetings.
- Provide necessary supporting documentation to auditors for year-end audits.
Requirements
Education: Diploma or Degree in Finance, Accountancy, or a related field.
Experience: Minimum of 3 years of hands-on experience in Accounts Payable/ General Ledger.
Technical Skills:
- Strong foundational knowledge of double-entry accounting and financial transactions.
- Proficiency in accounting software (e.g., SQL, AutoCount, UBS).
- Good Microsoft Office skills (Excel, Word, and Outlook) for routine reporting and communication.
