Responsibilities

About the Role:


Our client, a well-established multinational organisation, is seeking an experienced Executive Assistant to provide high-level support to two C-Suites within the organization.


This role requires a highly organised, proactive, and professional individual who is capable of managing complex schedules, coordinating executive-level engagements, and acting as a trusted liaison between senior management and key stakeholders. The successful candidate will play a critical role in ensuring the smooth day-to-day operations of the executive office while maintaining the highest level of confidentiality and professionalism.


Key Responsibilities:


  • Provide comprehensive executive support to the CEO and CFO.
  • Manage complex calendars, appointments, meetings, and travel arrangements.
  • Coordinate internal and external meetings, including preparation of agendas, meeting materials, and minutes.
  • Act as a key liaison between senior management and internal/external stakeholders.
  • Screen, prioritise, and manage correspondence, communications, and requests on behalf of executives.
  • Track key action items and follow up with stakeholders to ensure timely completion.
  • Prepare presentations, reports, and executive documentation as required.
  • Support the planning and coordination of executive visits, corporate events, and management meetings.
  • Maintain strict confidentiality when handling sensitive business information.
  • Provide administrative and operational support to facilitate efficient decision-making and business operations.


Requirements:


  • Degree in Business Administration or a related discipline.
  • Ideally with more than 10 to 15 years of proven experience supporting C-suite executives, preferably within a multinational or regional business environment.
  • Strong experience managing complex calendars, travel arrangements, and executive-level stakeholder engagements.
  • Excellent organisational, coordination, and multitasking abilities.
  • Strong interpersonal and communication skills with the ability to interact confidently across all levels of an organisation.
  • Demonstrated ability to handle confidential information with discretion and professionalism.
  • Proficient in Microsoft Office applications including Outlook, PowerPoint, Excel, and Word.
  • Self-motivated, resourceful, and capable of working independently in a fast-paced environment.


Preferred Qualifications:


  • Prior experience supporting multiple senior executives simultaneously.
  • Exposure to regional or international stakeholder management.
  • Ability to converse in Japanese will be advantageous to facilitate communication and coordination with Japanese-speaking stakeholders, though this is not a mandatory requirement.
