Job Description

Responsibilities

1. As Administrative Officer at Admin Centre Front Counter, you will assist the Administration and Procurement Manager in the areas of general administration to ensure the smooth operation of the school.

2. You will be part of the Admin Centre Team situated at Admin Centre Level 2 to provide general administrative support to school's management, teachers and students on a daily basis, which includes but not restricted to:

    • Handle walk-in enquiries or calls
    • Call transfer
    • Raise purchase requisition
    • Keep track of Admin contract renewal
    • Support in school activities such as cover during school declared holidays
    • Handle lost and found items
    • Purchase and replenish first aid kits
    • Handle courier and delivery and its dissemination to respective departments
    • Handle all mail including sending and receiving
    • Provide first aid assistance to students and staff as and when needed

3. SWC Duties for Admin Centre

    • Order and distribute snacks, fruits and drinks for Admin Centre
    • Top up copier paper
    • Top up snacks and drinks at Level 2 Admin Centre

4. Provide Cashiering Services for Y16

5. Assist Teachers/Students/Staff to Purchase and Claim Travel Insurance

    • Liase with insurer and parents/teachers on the claims when needed
    • Ensure that insurance is purchased before any overseas trip (work with Procurement on this)
    • Advise Teachers/Staff on the process for Travel insurance purchase

6. Any other role that the school requires

7. Work timing will be:

    • Monday to Thursday: 730am to 430pm
    • Friday: 730am to 4pm

Job Requirements

  • Excellent IT skills (Words and Excel) and able to present information for management reporting
  • Good written and verbal communication skills
  • A high level of accuracy and eye for details
  • Clear and logical thinking
  • Good organisation and planning skills
  • Excellent time management skills with ability to work independently on tight deadlines and under pressure
  • Good customer service skills with the ability to build appropriate professional yet friendly working relationships with staff and vendors
  • High integrity with the ability to demonstrate an understanding and respect for confidentiality in dealing with job issues
  • Willing to work beyond the call of duty
  • Able to find solutions to problems with some degree of flexibility in the approach whenever possible and investigate enquiries and respond in a timely manner
  • Effective contributor and team player within and with other departments
  • Prior understanding of MOE systems and able to work on rotated shifts and weekends for school events is a plus
  • This is a 2-year contract (renewable)
