What this job involves:
Supervise, assign tasks to, and provide on-the-job coaching for Junior Assistant Facilities Officer
Conduct daily briefings to align team priorities, review work orders, and address urgent issues
Monitor performance, attendance, and adherence to protocols; escalate concerns to management as needed
Foster a culture of accountability, safety, and customer service within the team
Handle work orders including minor furniture / door / cabinet / chair repair, unlock cabinet / door / pedestal, move / collect items, artwork / whiteboard / keyboard tray installation, lock repair, raised floor removal/reinstatement, report to Helpdesk if works completed or report Officers if further follow up is needed
Assist in event set up / reinstatement
Update key inventory, prepare key borrow / return form for users and keep record
Maintain tools / spare parts inventory level, report to Facilities Officer if there is insufficient tools / spare parts, keep updating inventory record
Provide key cut service out of office hours
Assist team administration work, e.g. photocopying, filing, notice posting, daily work record, update drawings
Carry out festive decoration
Carry out quarterly inspection on assembly point route and escape route (staircases) with ICC and technical team
Respond to emergency situation and arrange vendors for ad-hoc emergency repairing
Perform weekly inspection for meeting rooms, private offices, general office and copy areas (1-2 floor per week; 4 month per cycle) on facilities including lighting, phone, signage, ceiling tiles, doors, blinds, carpet, furniture, wallpaper, cabinet / closet door hinges, OHS hazards, etc, report any irregularities to helpdesk for follow up
Carry out monthly pantry visual check for each floor including furniture, machine/equipment, fittings
Perform check on AED and emergency equipment to ensure they are all functioned, report to Facilities Officer for follow up if not.
Handle work orders (which cannot be performed during weekdays)
Carry out cost saving works that used to be performed by vendor
Required Skills and Experience: Higher Diploma or above
Minimum of 5-6 year experience in the corporate real estate, facilities industry.
Leadership, provides clear direction and constructive feedback
Ability to solve problem effectively
Good team player with excellent communication and interpersonal skills
Meticulous with strong customer service skills
Proficiency in computer skills in Microsoft Office, MS project, MS excel & AutoCAD
