Job Description

Responsibilities

We are seeking a highly organized, proactive, and detail-oriented Personal Assistant to provide comprehensive administrative and operational support to the team. This role plays a critical part in ensuring smooth day-to-day operations, exceptional client service, and efficient management of appointments, documentation, and business activities.

  • Manage calendars, appointments, meetings, and travel arrangements for hiring managers
  • Coordinate and schedule client meetings, reviews, seminars, and events.
  • Prepare meeting materials, presentations, reports, and client documentation.
  • Handle correspondence, emails, phone calls, and follow-up communications professionally and promptly.
  • Maintain organized filing systems and ensure accurate record keeping.
  • Serve as the primary point of contact for clients regarding appointment scheduling and administrative inquiries.
  • Follow up with clients on documentation, policy servicing requests, and outstanding requirements.
  • Assist in maintaining strong client relationships through timely communication and support.
  • Coordinate client appreciation events, workshops, and engagement activities.
  • Assist with policy submissions, application processing, and administrative documentation.
  • Ensure client records and documentation comply with company and regulatory requirements.
  • Track business activities, production reports, and performance metrics.
  • Liaise with internal departments and external stakeholders to facilitate smooth business operations.
  • Support marketing initiatives, social media activities, and client communication campaigns.
  • Coordinate event logistics, invitations, registrations, and follow-up activities.
  • Monitor deadlines and ensure timely completion of tasks and submissions.
  • Handle ad-hoc administrative duties and special projects as assigned.
  • Identify opportunities to improve processes and enhance operational efficiency.

Minimum Requirements

· Prior experience as a personal assistant, admin executive, or in financial services support.

· Familiarity with insurance/investment terms and documentation.

· Basic knowledge of AI tools (ChatGPT, Claude) to help draft summaries or speed up admin work.

Pay: $2,500.00 - $3,200.00 per month

Work Location: In person
