Job Description

Responsibilities

Pacific Basin is one of the world’s leading owners and operators of modern Handysize and Supramax dry bulk ships. We are listed in Hong Kong and operate globally with a fleet of over 270 ships trading worldwide. Our team comprises about 4,600 seafarers and over 400 shore staff in 14 key locations around the world.


As part of our ongoing development, we are looking for an experienced Office Admin Executive to join our Overseas Administration team.


Responsibilities:

Office & Team Administration

  • Provide general administrative support to the Singapore office and regional team
  • Manage office supplies, couriers, and general office maintenance
  • Coordinate travel arrangements, meeting logistics, and schedules
  • Support visitor reception, phone handling, and mail management
  • Assist senior management locally when required


Payroll & HR Administration (Core Scope)

  • Support monthly payroll processing in coordination with HR / external vendors
  • Maintain accurate employee records (leave, attendance, personnel files)
  • Assist with work permits / visa administration where required
  • Support onboarding logistics and HR administrative processes


Finance & Vendor Support (Light-touch)

  • Process invoices, staff claims, and basic payment coordination
  • Maintain petty cash and basic expense tracking
  • Liaise with vendors on administrative matters


General Support

  • Maintain proper filing and documentation
  • Support ad-hoc admin tasks and team coordination activities


Skills Capabilities & Qualifications:

  • Diploma or above in Business Administration or related discipline
  • 2–5 years of relevant administrative or HR support experience
  • Experience in payroll coordination is preferred
  • Organized, detail-oriented, and reliable
  • Strong communication and interpersonal skills
  • Proficient in Microsoft Office
