Role Summary Business Support Executive plays a critical role in ensuring the smooth daily operations of the management team. This position is responsible for providing direct administrative and operational assistance to leadership, with a strong focus on preparing commercial documents, managing records, and facilitating effective communication through precise meeting documentation.


Key Responsibilities


Quotation & Sales Support:

  • Assist in drafting, generating, and formatting accurate commercial quotations and proposals.
  • Compile necessary pricing data, product specifications, and relevant commercial terms to ensure quotes are dispatched promptly.
  • Maintain and update quotation logs, inventory sheets, and internal tracking dashboards.

Documentation & Compliance:

  • Assist in completing and filing essential business documents, including vendor registration forms, tender submissions, and compliance paperwork.
  • Organize and maintain a highly systematic digital and physical filing system for easy retrieval of company records.
  • Ensure all forms and documents meet internal quality standards before submission.

Meeting Coordination & Administration:

  • Attend key management and operational meetings to record accurate and comprehensive meeting minutes.
  • Distribute minutes to relevant team and track the progress of assigned action items.
  • Provide general day-to-day administrative support to management, acting as a reliable point of contact for internal and external inquiries.


Qualifications & Requirements


Education: Must possess a bachelor’s degree in business administration, Management, or a related field. Mobility: Must possess a valid driving license (Class D) and be able to travel for business purposes as required (e.g., to attend off-site meetings, manage document submissions, or support site visits). Experience: Previous experience in an administrative, sales support, or business assistance role is highly advantageous.

Technical Skills: High proficiency in Microsoft Office and Google Workspace (specifically Excel/Sheets for managing pricing and data).

Attention to Detail: Strong organizational skills with a high degree of accuracy in data entry and document preparation.

Communication: Excellent written and verbal communication skills for drafting professional documents and capturing meeting notes clearly.
