Job Description

Responsibilities

We are seeking a friendly, organized, and customer-focused Front Desk to be the first point of contact for patients at our clinic. The ideal candidate will ensure a welcoming patient experience, manage appointments efficiently, handle administrative duties, and support the clinical team in delivering exceptional patient care.

Key Responsibilities

Patient Reception & Customer Service

  • Welcome patients warmly and create a positive first impression.
  • Answer phone calls, emails, and patient inquiries professionally.
  • Assist new patients with registration forms and clinic onboarding procedures.
  • Address patient concerns and escalate issues when necessary.

Appointment & Schedule Management

  • Schedule, confirm, and reschedule patient appointments.
  • Manage practitioner calendars to optimize clinic flow.
  • Send appointment reminders and follow-up communications.
  • Maintain accurate patient records and appointment history.

Administrative Duties

  • Register patients and update personal and medical information in the clinic management system.
  • Process payments, issue receipts, and manage billing transactions.
  • Maintain confidentiality of patient information in accordance with clinic policies.
  • Prepare daily reports and assist with administrative documentation.

Clinic Operations Support

  • Ensure reception and waiting areas are clean, organized, and welcoming.
  • Coordinate with operations team and support staff regarding patient schedules.
  • Support clinic marketing initiatives, patient education programs, and promotional activities when required.

Requirements

  • 2–3 yearsof experience in a receptionist, front desk, customer service, or healthcare administrative role.
  • Diploma or equivalent qualificationin Business Administration, Customer Service, Healthcare Administration, orrelated field.
  • Proficiency in Microsoft Office and clinic management software.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Ability to handle sensitive patient information with discretion.
  • Willingness to support neighbouring clinics through cross-deployment when required.
  • Able to work shifts, including weekends and evenings when required.
