About the role
We are seeking an Admin Executive to join the team at Lifa Success Sdn. Bhd. in Taman Molek, Johor. This is a full-time position that plays a crucial role in ensuring the smooth operation of our administrative functions. As an Admin Executive, you will be the backbone of our office operations, providing essential support to management and staff whilst maintaining organised, efficient systems that enable the business to run seamlessly. This role is integral to our success, requiring a proactive individual who can manage multiple priorities with professionalism and attention to detail.
Key responsibilities
Managing general office administration tasks including scheduling, correspondence, and record-keeping
Coordinating meetings and events, including venue booking, preparation and minute-taking
Handling incoming and outgoing communications via post, email and telephone
Maintaining and updating filing systems, databases and administrative records
Processing invoices, expenses and other financial documentation with accuracy
Ordering office supplies and managing inventory levels to ensure smooth operations
Providing support to various departments and senior management as required
Assisting with human resources administration including employee records and leave management
Performing ad-hoc administrative tasks and projects as assigned by management
What we're looking for
Proven experience as an Administrative Assistant or similar administrative role
Excellent organisational skills with the ability to prioritise multiple tasks effectively
Strong written and verbal communication skills in English and Bahasa Malaysia
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Attention to detail and commitment to maintaining accuracy in all work
Professional demeanour with excellent customer service skills
Ability to work independently and as part of a team in a fast-paced environment
Discretion and confidentiality when handling sensitive information
Problem-solving mindset and willingness to take initiative
Preferably 1-2 years of experience in an administrative role within a dynamic business environment
