Role Description This is a full-time, on-site Administrative Assistant role based in Kuala Lumpur. The Administrative Assistant will manage day-to-day office operations, including handling incoming calls, greeting visitors, and responding to general inquiries from students, families, and partners. This role will support scheduling and coordination of classes, maintain accurate records and documentation, and assist with data entry and basic reporting. The Administrative Assistant will prepare and organize documents, maintain filing systems, and support senior staff with executive-level administrative tasks such as meeting coordination, calendar management, and basic correspondence. The role also includes ordering office supplies, assisting with simple billing or payment tracking, and collaborating with educators and management to ensure a smooth and professional learning environment.

Qualifications

  • Strong Administrative Assistance and Clerical Skills, including document preparation, filing, and data entry.
  • Professional Phone Etiquette and customer-facing Communication skills for interacting with students, families, and partners.
  • Experience or aptitude in Executive Administrative Assistance, such as calendar management, meeting coordination, and basic reporting.
  • Ability to use common office software (e.g., word processing, spreadsheets, email, scheduling tools) and learn new systems quickly.
  • High level of organization, attention to detail, and ability to manage multiple tasks in a fast-paced educational environment.
  • Dependable, proactive, and comfortable working on-site as part of a collaborative team.
  • Previous experience in an educational setting or student-facing role is an advantage.
  • Diploma or degree in Business Administration, Office Management, or a related field preferred, or equivalent practical experience.
