What You'll Be Doing?

Evyap is seeking a Documentation Executive to manage and coordinate domestic and export shipping documentation, ensuring timely and accurate preparation, compliance with customs and regulatory requirements, and seamless coordination with internal and external stakeholders to support efficient and compliant operations.


Main Responsibilities

  1. Responsible for pre & post preparations of all shipping documents related to domestic and export shipments related to Customs, Banks, Shipping Liners, Agents, Customers etc.
  2. Conform to local governance laws and customs compliance in documents to ensure that exports conform to different POD rules/protocols to minimize problematic shipments
  3. Prepare and submit all manner of certification, COO (MICCI/MITI), Chambers, Health Certificates, Veterinary Certificates
  4. Managing, maintaining documents in both hard copy , soft copy & update tracking in SAP system as required.
  5. Prepare and follow up with Embassies on legalization of documentations
  6. Have good business knowledge / process understanding to provide a value add to the customers through effective solutions.
  7. Prepare and submit all documents in a timely and accurate manner and keep the internal/external stakeholders informed of the status.
  8. Understanding business criticality and prioritizing the tasks effectively to ensure customer satisfaction
  9. Adhere to process and Standard Operating Procedures (SOPs) and Internal Operating Procedures (IOPs) during daily operation.
  10. Respond to all enquiries in a timely and accurate manner & escalate difficulty as defined in SOPs / IOPs.
  11. Maintain effective and proactive communication with HODs/Managers & relevant departments to enable seamless process flow
  12. Maintain a customer centric approach thereby helping to avoid occurrence of errors and take preventive measures to eliminate repetition of errors.
  13. Understand Shipping Export Documentation and carry out all activities in a manner that will contribute to the achievement of individual and team Key Performance Indicators (KPI’s).
  14. Ensure all activities that are carried out are in compliance with ESM Integrated Management System requirements (ISO 9001, FSSC 22000, ISO 22716, GMP+B2, RSPO, Halal, Kosher and GMP).

Job Requirements


  • Minimum 2-3 years experiences in manufacturing environment (FMCG/Oleochemicals) industry is preferred.
  • Experience handling international orders.
  • SAP knowledge is a MUST
  • Microsoft Office Applications
  • Knowledge in Documentation and procedures
  • Good communication skills
  • Result Oriented
  • Highly motivated and energetic
  • Reliable and efficient with a good sense of urgency.
  • Willing to work at Pasir Gudang
