Responsibilities
We are seeking a detail-oriented, reliable Administrative Assistant to join our team. The primary focus of this role is to track down, organize, and prepare critical documents for systematic filing and compliance. Key ResponsibilitiesDocument Retrieval: Actively follow up with internal team members and external partners to gather necessary records, receipts, contracts, and forms.
Filing & Organization: Maintain, update, and manage both digital and physical filing systems, ensuring all documents are accurately categorized and easy to retrieve.
Compliance Prep: Ensure all collected documents meet standard formatting guidelines and completeness requirements prior to final filing.
Tracking & Follow-ups: Maintain a master log of missing documentation and systematically reach out to stakeholders to close outstanding gaps.
Data Entry: Accurately log document metadata (dates, reference numbers, names) into our internal database.
Experience: 1–2 years of experience in an administrative support, document control, or clerical role is preferred.
Tech Savvy: Proficient with cloud storage platforms (e.g., Google Drive, Dropbox, SharePoint) and basic spreadsheet tools (Excel/Google Sheets).
Organization: Exceptional attention to detail and a high level of organizational skill.
Communication: Strong, professional written and verbal communication skills for chasing down missing paperwork politely but firmly.
Reliability: High level of discretion and trustworthiness when handling confidential or sensitive documentation.
