Job Description

Responsibilities

Key Responsibilities

  • Office Administration & Document Management

    • Handle daily clerical tasks, including drafting correspondence, maintaining filing systems (physical and digital), and processing office documents.

    • Prepare meeting agendas, presentations, and reports; coordinate internal and external communications.

    • Manage the GM’s calendar, schedule appointments, and arrange travel itineraries as needed.

  • Driving & Transportation

    • Serve as the primary driver for the General Manager, ensuring safe and timely transportation for business meetings, site visits, and daily commutes.

    • Maintain the company vehicle’s cleanliness, service records, and legal compliance (insurance, inspection, etc.).

    • Plan optimal routes and adjust schedules to accommodate last‑minute changes.

  • Personal Assistance (Family Support)

    • Occasionally assist with personal errands, including picking up and dropping off the GM’s children to/from school, extracurricular activities, or other appointments.

    • Coordinate with family schedules and ensure children’s safety and punctuality during transport.

  • Cross‑Functional Coordination

    • Liaise with internal departments and external stakeholders to facilitate smooth workflow and follow‑up on action items.

    • Screen and prioritize incoming calls, emails, and visitors, redirecting queries as appropriate.

  • Additional Duties

    • Support special projects, event planning, and ad‑hoc administrative tasks as assigned by the GM.

Qualifications & Requirements

  • Valid driver’s license with a clean driving record and at least 3 years of professional driving experience.

  • Proven experience as an executive assistant, personal assistant, or similar administrative role.

  • Excellent organizational and time‑management skills, with the ability to multitask and work under pressure.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with office equipment.

  • Strong verbal and written communication skills in English (and local language, if applicable).

  • High level of integrity, confidentiality, and emotional intelligence when handling sensitive business and personal matters.

  • Flexibility to work occasional evenings or weekends for driving/event needs.

Working Conditions

  • Full‑time position based at the office, with frequent travel within the city for driving duties.

  • Must be comfortable with a hybrid role that balances desk work, driving, and family‑related errands.
