Responsibilities

We’re looking for an Operations Advisor to join our award winning team conveniently located in Mid Valley City, Kuala Lumpur. 

As an Operations Advisor at Double Eleven, you’ll be responsible for ensuring the smooth operation of office facilities while delivering an exceptional workplace experience for employees and visitors. The ideal candidate for this role will have a passion for people and great administration, enjoy a challenge and be excited to work in a highly fast paced environment where no one day is the same.

What you’ll be doing

  • Manage and maintain the reception area, studio entrances and wider office environment, ensuring all spaces are clean, organised and present a professional image
  • Handle incoming mail, deliveries and telephone calls, directing enquiries to the appropriate individuals or teams
  • Welcome, register and assist visitors, candidates, vendors and contractors, ensuring a positive experience and notifying relevant employees of their arrival
  • Build strong relationships with employees across the studio, providing day-to-day support to ensure the smooth running of the office
  • Coordinate and oversee the maintenance of office facilities, equipment and services, including routine contracts such as pest control, plant maintenance, water filtration and coffee machine servicing
  • Act as a key point of contact for internal teams, building management, suppliers, vendors and contractors
  • Manage office-related purchasing and accounts administration, including raising purchase orders, processing invoices and ensuring documentation is accurate and up to date
  • Maintain office and kitchen supplies, monitoring stock levels, placing orders and sourcing new suppliers where appropriate
  • Coordinate meeting room bookings, prepare meeting spaces and arrange catering when required
  • Organise travel and accommodation arrangements for studio visitors
  • Support the onboarding of new starters by preparing workspaces, access cards, parking arrangements, lanyards and other required resources
  • Plan and deliver office events and activities, including celebrations, team gatherings, training sessions and health and safety initiatives such as fire evacuation and CPR training
  • Provide general administrative support, including managing refreshments and other day-to-day office requirements
  • Carry out additional clerical and administrative duties as required by the Manager/Supervisor

  • A versatile and proactive approach to all aspects of office management
  • Excellent time management and prioritisation skills, with the ability to manage multiple tasks effectively
  • Highly organised, enthusiastic and adaptable, with a positive attitude
  • Strong project planning, coordination and organisational skills
  • Exceptional attention to detail and a commitment to accuracy
  • Excellent verbal and written communication skills
  • Strong computer literacy, including proficiency in Google Workspace and Microsoft Office applications
  • Experience working in a fast-paced office environment
  • A friendly, approachable and professional manner, with confidence in a public-facing role
  • A willingness to support others and provide excellent service to colleagues and visitors
  • The ability to follow instructions accurately and work with a high degree of reliability
