FFF Media Group is seeking a highly capable Chief Operating Officer / General Manager to support the next stage of growth for one of Malaysia’s leading food, travel and lifestyle media companies.
The company operates a portfolio of digital media brands, including Malaysia Food & Travel, KL Hojiak, Halal Food & Travel, and several growing niche platforms across food, travel, lifestyle and local discovery. Our business covers social video, branded content, digital campaigns, editorial features, events, sponsorships, commercial partnerships and client-led content production.
We are looking for a strong operator who can help professionalise the company’s internal structure, strengthen execution, improve commercial visibility and build a more scalable operating model.
This is a senior hands-on leadership role suited for someone who understands how to manage a fast-moving creative business while maintaining accountability, profitability and operational discipline.
Role Overview
The COO / General Manager will work closely with the Founder / CEO to oversee daily business operations, content production workflows, sales operations, team performance, client delivery and management reporting.
The successful candidate will be responsible for translating company priorities into clear execution plans, ensuring teams are aligned, improving internal processes and supporting the company’s transition from a founder-led business into a more structured, management-led organisation.
Key Responsibilities
1. Company Operations & Business Management
- Oversee day-to-day business operations across the company.
- Build and manage the company’s weekly, monthly and quarterly operating rhythm.
- Lead regular management and team lead meetings with clear agendas, KPIs, owners and follow-up actions.
- Develop internal dashboards to track revenue, sales pipeline, production capacity, campaign delivery, team performance and key business metrics.
- Improve communication and coordination across departments.
- Identify operational gaps and implement practical solutions.
- Ensure company priorities are translated into clear action plans.
- Reduce founder dependency in daily operational decision-making.
- Create stronger internal accountability across departments and team leads.
2. Content & Production Operations
- Oversee production workflows across writers, videographers, editors, social media teams, approvers and production leads.
- Improve the end-to-end process from sales brief to shoot planning, editing, approvals, posting and reporting.
- Ensure campaign deliverables are completed on time, within scope and to the expected quality standard.
- Identify and resolve bottlenecks in shoot coordination, editing timelines, approvals, client revisions and internal handovers.
- Develop SOPs, templates, checklists and production standards.
- Work with team leads to manage production capacity and resource planning.
- Ensure client expectations and campaign requirements are clearly communicated before work begins.
- Improve coordination across multiple brands and platforms, including MFT, KL Hojiak, Halal Food & Travel and other verticals.
- Support the team in maintaining creative quality while improving consistency, speed and operational efficiency.
3. Sales Operations & Commercial Systems
- Oversee and improve the company’s sales pipeline and CRM system.
- Ensure all leads, proposals, deal stages, owners, follow-ups and expected revenue are properly tracked.
- Work with the sales team to monitor inbound leads, outbound opportunities, proposal progress, negotiations and closed deals.
- Support the Founder on high-value commercial opportunities, strategic partnerships and key client relationships.
- Standardise sales packages, rate cards, proposal templates and campaign offerings.
- Ensure sales commitments are commercially viable, operationally deliverable and aligned with company margins.
- Improve visibility on monthly sales forecast, confirmed revenue, hot pipeline and overdue follow-ups.
- Support the development of repeat client revenue, retainers and long-term commercial partnerships.
- Ensure confirmed deals are properly handed over to the production team with clear deliverables, deadlines and responsibilities.
4. Financial Discipline & Reporting
- Work with the Founder and finance/admin team to monitor revenue, costs, gross margin, net profit and cashflow.
- Support monthly management reporting and business performance reviews.
- Track campaign profitability and identify areas where margins can be improved.
- Improve budget discipline across production, manpower, freelancers, events, tools and operational expenses.
- Support better pricing, hiring and resourcing decisions through accurate reporting.
- Ensure commercial and operational decisions are guided by business data.
- Help build cleaner internal documentation and reporting as the company scales.
5. People Management & Team Leadership
- Manage, support and hold team leads accountable.
- Establish clear KPIs, responsibilities and performance expectations across departments.
- Strengthen the company’s management layer so that team leads are able to operate more independently.
- Support hiring, onboarding, training, performance reviews and internal role development.
- Address performance issues clearly, fairly and professionally.
- Support team leads in becoming stronger managers.
- Improve internal processes around promotions, increments, incentives and role transitions.
- Build a working culture that balances creativity, speed, accountability and professionalism.
- Ensure issues are escalated early and handled constructively.
6. Strategic Execution & Founder Support
- Act as a key execution partner to the Founder / CEO.
- Help prioritise company initiatives based on urgency, impact, resources and commercial value.
- Translate new ideas, growth plans and business priorities into structured execution plans.
- Provide clear recommendations on operational, commercial and people-related decisions.
- Challenge assumptions constructively and help maintain focus on the company’s highest-value priorities.
- Protect the Founder’s time by ensuring the right issues are handled at the right level.
- Support the company’s readiness for future growth, strategic partnerships, investment or potential acquisition opportunities.
Success Measures
First 3 Months
- CRM and sales pipeline are properly maintained and actively used.
- Weekly leadership and sales meetings are running with clear follow-up actions.
- Team leads have clearer responsibilities, KPIs and reporting expectations.
- Production bottlenecks are identified and improvement plans are underway.
- Campaign handovers are more structured and consistent.
- Revenue, pipeline, campaign status and team capacity are more visible.
- Founder involvement in small operational issues begins to reduce.
First 6 Months
- Sales, production and campaign delivery workflows become more predictable.
- Team leads demonstrate stronger ownership and accountability.
- Campaigns are delivered with fewer last-minute issues.
- Revenue forecasting and pipeline tracking become more reliable.
- Underperformance is addressed earlier and more consistently.
- Internal dashboards, SOPs and reporting systems are established.
- The Founder is able to spend more time on strategy, partnerships, brand development and high-value commercial opportunities.
First 12 Months
- The business is significantly less dependent on the Founder for day-to-day execution.
- Team leads are operating with greater independence and accountability.
- Sales and production processes are better connected.
- Company margins and resourcing decisions are better managed.
- The company has a stronger operating structure to support future growth.
- Internal systems, reporting and management processes are more professional and scalable.

Requirements
- Minimum 7 years of experience in operations, general management, business operations, agency management, media operations, project management or a related field.
- Minimum 3 years of experience managing team leads, managers or cross-functional teams.
- Experience in digital media, social media, creative agency, advertising, publishing, events, branded content or fast-growing SMEs is strongly preferred.
- Strong understanding of workflow management, team accountability and project delivery.
- Ability to understand revenue, costs, margins, profitability and business performance.
- Experience with sales pipeline tracking, CRM systems, dashboards or commercial reporting.
- Strong communication, leadership and stakeholder management skills.
- Comfortable using Google Sheets, project trackers, dashboards and management reports.
- Experience building SOPs, templates, reporting structures and operational processes.
- Comfortable operating in a founder-led business with evolving systems and priorities.
