Responsibilities
RESPONSIBILITIES
In-charge of front desk
Answering incoming calls on multi-line telephones using PABX phone system. Calls effectively transferred to the right person. Prepare a report on the number of calls received and transfer.
Taking message while respective person is not around.
Provide a polite, professional and accurate response.
Attended walk-in customers, visitors, contractors or supplier queries at the reception desk in friendly and professional manner.
VIP Guest to be ushered to the respective floor/office or directing visitor to their destination and inform the person in-charge on guest arrival.
Sorting and handling in/out mail.
Handling incoming or outgoing courier and register in log book.
Monitor on dispatch daily pick-up arrangement, schedule and register in log book.
Handle cleaners
Keyboarding data entry and performing a variety of other office tasks.
Manage customer's expectation and display ownership for customer's request.
Liaise with appropriate department to resolve issues brought up by customers.
Assist in general administrative matters and documentation filing, typing and updating records.
Ensure that the reception maintain a high professional image in terms of cleanliness and tidiness.
To update knowledge on latest/new program provided by University.
Updating extension list and aware of staff movement (MC/Absent/Resign/Transfer).
Train and guide junior receptionist on work ethics and front desk criteria.
Any other task from time to time.
REQUIREMENTS
SPM, STPM, Certificate, or Diploma in Business Administration, Office Management, Customer Service, or a related field.
Preferably candidates with 1–2 years of experience in reception, front desk, customer service, or administrative roles will have an added advantage.
Good communication and interpersonal skills with a friendly and professional attitude.
Basic proficiency in Microsoft Office applications such as Word, Excel, and Outlook.
Ability to multitask, stay organized, and handle enquiries in a calm and courteous manner.
Well-groomed, customer-oriented, and comfortable interacting with students, staff, visitors, and VIP guests.
