Job Description

Responsibilities

Job Purpose:

To support the VP and Head of Department in managing Group Procurement activities at Head Office, including providing operational and administrative support to branches with a focus on E‑Procurement processes and Admin Helpdesk management.

Key Responsibilities:

  1. Procurement Process Mastery

  • Execute sourcing activities, RFQ, and vendor evaluation.

  • Prepare and process PR and PO accurately.

  • Coordinate with vendors on delivery and service fulfilment.

  • Maintain procurement documentation and ensure compliance to policies.

  1. Admin Helpdesk & Problem Solving

  • Manage Admin Helpdesk portfolio (e.g., ServiceNow tickets).

  • Handle and resolve user queries/issues related to facilities and admin matters.

  • Coordinate with internal teams and vendors to ensure issue closure within SLA.

  • Track, monitor and report helpdesk performance.

  1. Operational Efficiency

  • Monitor PR and PO status and ensure timely completion.

  • Follow up on pending orders, deliveries, and invoices.

  • Investigate delays in payments and incomplete documentation.

  • Ensure proper record keeping for audit purposes.

  1. Vendor Management & Outsourcing

  • Support vendor sourcing and onboarding.

  • Liaise with vendors to ensure quality and timely service.

  • Assist in identifying cost-saving opportunities.

  • Support outsourcing execution plans where applicable.

  1. Planning & Execution

  • Assist in planning and organizing admin-related initiatives.

  • Coordinate with departments on procurement and office requirements.

  • Support execution of events or office arrangements when required.

  1. Learning & Development / Contribution

  • Attend required training and courses.

  • Support knowledge sharing within the team.

  • Assist in guiding new team members when required.

  • Achieve Individual Development Plan (IDP) targets.

Qualifications, Experience and Knowledge/Skills/Attributes

  • Degree holder with minimum 1-2 years of relevant experience.

  • Strong knowledge of vendor management and outsourcing arrangements, preferably within a banking or financial services environment.

  • Possess an excellent analytical, problem solving and organization skills

  • Possess knowledge of vendor management and outsourcing arrangements

  • Effective written and verbal communication skills

  • Ability to work independently and multi-task in a fast-paced team environment

  • Detail-oriented with strong governance and compliance awareness.
