Responsibilities
PRIMARY RESPONSIBILITIES
1) REGULATORY
1.0 Pusat Bertauliah Regulation & Procedures
To control and abide to the standard regulation under the ACT 652
To control and monitor all aspect of standard operating procedures are follow by the ACT 652
To control and monitor the training operation and processes as set and plan by the Pusat Bertauliah.
To update the management on latest/change/new policies and plan a training/briefing to all members of internal business stakeholders.
Able to give solution/option and business ideas to overcome changes in regulations.
SECONDARY RESPONSIBILITIES
1) TRAINING OPERATION MANAGEMENT
1.0 Trainee Attrition
To ensure the attendance of students is above 80% and complies with Jabatan Pembangunan Kemahiran (JPK) requirements
To ensure that 90% students enrolled in courses would finish them all as indicated in the MySpike system.
The percent rate of student withdrawal, and MIA status is below 15% per intake enrollment.
Closely monitor the attendance of students after the enrollment.
1.1. Trainee Project Completion
Monitor closely the performance of trainees towards skill-based that follow the National Occupational Skills Standard (NOSS) standards.
Ensure the Curriculum of Competency Unit (CoCu) module is conducted on track based on the study period's timeline.
Conduct the Pre-Presentation for the Final Year Project (FYP) based on the scheduled.
Supervise the progress of student programs or events for the Final Year Project (FYP).
To key in the assessment marks into the MySpike system and ensure all the assessment records are up to date.
Filling up and completing the student's Rekod Penilaian Kumulatif (RPK) before the final vetification from the external verification officer (PPL).
1.2 Trainee Portfolio Readiness
Guide the students on portfolio development during the study period.
Briefing about the assessment process of skills training requirements to fulfill as followed by National Occupational Skill Standards (NOSS) to students.
Monitor student progress on portfolio development and assignment completion.
Briefing about the internship placement for students.
2) TRAINING CENTRE WIM DEVELOPMENT & CONTINUOUS TRAINING
2.0 WIM Development
Development updated the Written Instructional Material (WIM) based on the National Occupational Skill Standard (NOSS), which comply with Jabatan Pembangunan Kemahiran (JPK) requirements.
Development of the assessment material like Penilaian Kerja Kursus (PKK) of each module that follows the National Occupational Skill Standards (NOSS) to comply with Jabatan Pembangunan Kemahiran (JPK).
2.1 TRAINERS REQUIREMENT
Attend any training conducted by the Jabatan Pembangunan Kemahiran (JPK) and CIAST in any skills and development as for personal continuous improvement.
3) STANDARD OPERATING PROCESS (SOP) COMPLIANCE
Fulfilled the Standard Operating Procedure (SOP) of Pusat Bertauliah City Academy that comply with the requirements of Jabatan Pembangunan Kemahiran (JPK) and Ministry of Higher Education (MOHR).
Prepare the document that follows based on Penarafan Tunggal TVET criteria.
To ensure all the filling documents and records are up-to-date and compliant for audit process.
4) TRAINING EFFECTIVENESS
Compulsory participation in the training schedule by management.
Report and conduct sharing sessions with colleagues for the effectiveness of the training.
SUPPORTING DUTIES
A full cooperation and commitment to help and maintain a good distinguish working relations with internal stakeholders such as Corporate Office, Registrar, Regulatory, Finance, Bursary & Credit Control, Internal & External Auditor, Legal Department, Student Affairs Department, Faculty, Facilities Management, Hostel Management Unit, International Marketing Department, Human Capital Management and any other department, unit and agencies related and relevance to managing International Office.
DOCUMENT PROCESSES PERSONNEL RESPONSIBLITIES
The Document Processes Personnel is responsible for: establishing a procedural framework for collecting the controlled documents, including developing and/or enhancing document controls procedures and tools; managing and enforcing the collection, distribution and filing of controlled documents, including being watchful of documents moving in and through the organization to validate correct processing and recording, keep update with the City University and City Academy policy and internal documentation system to foresee possible opportunity of default, and conducting periodic "spot audits" or "over-the-shoulder-reviews"of functional group's Audit document control; and for providing document control information to seek collaboration and cooperation of the faculty and the rest of the stakeholders.
REQUIREMENTS
Diploma Kemahiran Malaysia (DKM - Level 4) in related field, VTO/TVET-i, Induction Course from JPK (PP-PPD-PPB).
Experience in teaching.
Knowledgeable in WIM & Penilaian Kerja Kursus Development.
Keep update on latest information about Jabatan Pembangunan Kemahiran Guideline.
Knowledgeable in Code of Practice TVET Program Accrediation (COPTPA)
