Job Description

Responsibilities

Key Responsibilities

1. HR Administration & Compliance

  • Manage full-cycle HR administration: employment contracts, leave records, attendance, and personnel files.
  • Process monthly payroll and ensure accurate, timely statutory contributions (EPF, SOCSO, EIS, PCB/income tax).
  • Ensure full compliance with Malaysian Employment Act 1955 and related labour regulations, including working hours, overtime, rest days, and termination procedures.
  • Maintain up-to-date knowledge of Singapore employment practices where relevant to cross-border coordination with the Singapore office.
  • Liaise with government bodies (JTKSM/Labour Office, KWSP, PERKESO, LHDN) on compliance matters and inspections.

2. Foreign Worker Management

  • Manage end-to-end foreign worker procedures: work permit applications, renewals, and cancellations.
  • Coordinate with appointed agents on FOMEMA medical check-ups, levy payments, and Immigration Department requirements.
  • Maintain accurate documentation for foreign worker compliance audits (passports, permits, accommodation records as required by law).
  • Stay current on changes to Malaysian foreign worker policy and ensure the factory remains audit-ready at all times.

3. Recruitment & Onboarding

  • Manage recruitment for factory and office-based roles — from job posting and screening to interview coordination and offer issuance.
  • Conduct structured onboarding for new hires, including local and foreign workers, covering company policies, safety briefings, and role-specific orientation.

4. Training & Development — Food Hygiene & Food Safety Focus

  • Design, schedule, and deliver food hygiene and food safety training programmes for production workers, in line with HACCP and ISO 22000 requirements.
  • Conduct regular refresher training and onboarding training for new production staff on GMP (Good Manufacturing Practice), personal hygiene standards, and safe handling procedures.
  • Maintain training records and certificates required for HACCP, ISO 22000, Halal, and GlobalGAP audits.
  • Work with the QC and Production teams to identify training gaps and coordinate external certified trainers where needed (e.g. HACCP certification courses, Halal training).
  • Track training effectiveness through floor observations and tie findings back into refresher sessions.

5. Employee Relations & Welfare

  • Act as the first point of contact for employee grievances, disciplinary matters, and welfare concerns.
  • Support a positive, compliant, and safe working environment across the factory.
  • Assist management with policy development and implementation as the company grows.

Requirements

  • Diploma or Degree in Human Resource Management, Business Administration, or a related field.
  • 4–5 years of relevant HR & Training experience, ideally in a manufacturing, factory, or food production environment.
  • Solid working knowledge of Malaysian labour law (Employment Act 1955) and statutory requirements (EPF, SOCSO, EIS, PCB).
  • Hands-on experience with foreign worker procedures — work permits, FOMEMA, levy, and Immigration Department processes.
  • Working knowledge of Singapore employment practices is an advantage, given the company's cross-border operations.
  • Experience designing or delivering food hygiene / food safety training is highly preferred (HACCP or food safety certification a strong plus).
  • Comfortable working on the factory floor and engaging directly with production workers, including foreign nationals.
  • Proficient in English and Bahasa Malaysia
  • Proficient in Microsoft Office (Excel, Word)
  • Meticulous, organised, and able to manage compliance documentation with a high level of accuracy.
  • Own transport preferred, as the factory is located within SILC Industrial Park, Iskandar Puteri.

Pay: RM3,400.00 - RM3,950.00 per month

Work Location: Hybrid remote in Gelang Patah
