Project Documentation Coordinator – Data Centre Fibre Works
We are looking for a responsible and process-oriented Project Documentation Coordinator to support our project team for fibre cabling / structured cabling works in a data centre environment.
This role requires daily site check-in, coordination with the project team, and proper control of project documentation, attendance records, safety documents, progress photos, reports, and submission records.
The candidate must be disciplined, organised, responsive, and able to provide constant updates to the Project Manager and management team.
Location: Nusajaya / Iskandar Puteri, Johor
Availability: Immediate availability preferred
Working Arrangement: Site-based
Working Hours: 12-hour shift / project-based working hours, including weekends where required ( DAY Shift from 8 a.m to 8 p.m)
Key Responsibilities:
- Support the Project Manager and site team with daily project documentation.
- Perform daily check-in at site and coordinate with supervisors / site team.
- Collect and compile daily manpower attendance records.
- Compile daily progress photos, work updates, and site activity records.
- Prepare and update daily progress reports.
- Assist in permit-to-work, toolbox talk, safety briefing, and site documentation records.
- Track document submissions, approvals, pending items, and follow-up actions.
- Coordinate with site supervisors to ensure all required documents are completed and signed.
- Maintain proper filing of project records, reports, photos, attendance, and safety documents.
- Assist with incident records, corrective action evidence, and supporting documentation when required.
- Update management regularly on documentation status, missing records, and urgent follow-up items.
- Ensure project documents are organised, accurate, and submitted on time.
Requirements:
- Minimum 2–5 years’ experience in project documentation, site administration, project coordination, or construction documentation.
- Experience in data centre, fibre cabling, telecom, M&E, ELV, infrastructure, or construction projects is preferred.
- Must be process-oriented and disciplined with document control.
- Must be comfortable working on site and coordinating directly with project teams.
- Able to prepare reports, compile photos, organise files, and follow up with multiple parties.
- Good communication and follow-up skills.
- Basic computer skills required, including Microsoft Excel, Word, PDF, Google Drive / shared folders, and WhatsApp reporting.
- Able to work under fast-track project conditions.
- Must be available immediately or within short notice.

- Able to work with Project Manager, Site Manager, Supervisors, Safety Team, and workers.
- Able to chase documents and signatures without delay.
- Able to update management daily.
- Responsible, punctual, and site-present.
