Job Description

Responsibilities

JOB RESPONSIBILITIES

  • Learn and understand customer shipment requirements, including the required shipping and export documentation.
  • Acknowledge shipment bookings, follow up on booking confirmations, and monitor shipment status.
  • Coordinate cargo collection and ensure cargo is delivered to the correct terminal or warehouse.
  • Ensure all shipment information is accurately updated in the relevant operating system after shipment departure.
  • Prepare customs declarations, Certificates of Origin (COO), Certificates of Insurance (COI), and other shipping documents as required.
  • Coordinate with the Operations team to ensure shipping documents (e.g. Bill of Lading, Sea Waybill, Air Waybill) are received on time for customs clearance and certificate applications.
  • Submit Certificates of Origin and other required export documents to the relevant authorities and coordinate with financial institutions for Letter of Credit (LC) shipments where applicable.
  • Arrange collection and timely distribution of Certificates of Origin and other shipping documents to the relevant internal teams or customers.
  • Prepare billing reports, trucking reports, and other operational reports as required.
  • Maintain good relationships with customers, vendors, and other stakeholders by providing excellent customer service.
  • Maintain proper filing and record management of shipment and operational documents in accordance with document retention procedures.
  • Attend customer meetings when required.
  • Perform administrative duties and other job-related tasks as assigned by the Executive, Senior Executive, Section Head, or immediate superior.

JOB REQUIREMENTS

Education

  • Diploma or Degree in Logistics, Supply Chain Management, Business Administration, or a related field.

Working Experience

  • Officer: 1–2 years of relevant working experience with a Diploma, or 3 years of relevant experience for candidates below Diploma level.
  • Senior Officer: 2–3 years of relevant working experience with a Diploma/Degree, or 4 years of relevant experience for candidates below Diploma level.

Skills

  • Able to speak, read, and write in Bahasa Malaysia and English.
  • Computer literate with knowledge of Microsoft Office and relevant operational systems.
  • Good communication, coordination, and organizational skills.
  • Able to work independently and meet deadlines
