Equalenergie Sdn Bhd (EEMY) is Malaysia's renewable energy solutions company, developing, financing, and operating solar PV and energy storage solutions for commercial, industrial, and strategic clients. We operate under a Zero-CAPEX tariff model, making clean energy accessible without upfront investment.

The Role

This is a dual-function support role at the heart of EEMY's operations. You will work directly with our General Counsel and Acting Head of Corporate Services, supporting two distinct but connected areas of work.

•Legal and governance support

•HR and administrative support


Key Responsibilities


Legal and Governance Support

•Maintain EEMY's master document register. Update the register whenever documents are created, revised, or retired.

•Coordinate with external company secretary on all corporate secretarial matters including SSM filings, director notifications, statutory registers, and compliance submissions.

•Support the Head in managing regulatory correspondence - logging, routing, and tracking responses to correspondence from the authorities or regulatory bodies.

•Maintain version control discipline across all EEMY documents in accordance with EEMY’s document control policy. Ensure documents are correctly named, classified, stored, and distributed.

•Assist in drafting, formatting, and proofreading policies, practice notes, and governance documents.

•Monitor document review dates and alert owners when documents are due for review.

•Support the Head in coordinating the management committee’s meeting including scheduling meetings, agenda preparation, meeting notes preparation, action item tracking, and circulating meeting materials and meeting notes


Governance Culture

•Assist and guide other staffs on EEMY's document control and compliance with Personal Data Protection Act 2010 (PDPA). Ensure all team members understand how to classify, name, store, and share documents correctly.

•Serve as the first point of contact for staff with questions on governance policies and procedures.

•Identify gaps or inconsistencies in how policies are being followed and escalate to the Head.

•Assist in maintaining and updating policy documents as the governance framework evolves.


HR and People Support

•Support HR onboarding and offboarding processes in coordination with Group HR.

•Maintain employment documentation, service agreements, and HR records in accordance with PDPA requirements.

•Administer leave and expense claims processes - ensuring submissions are correctly routed and approvals are tracked per EEMY’s framework.

•Coordinate with Group HR on recruitment administration - scheduling interviews, managing candidate correspondence, and maintaining applicant records.

•Support insurance enrolment, benefits administration, and any HR compliance requirements under Malaysian employment law.


General Administration and Operations

•Support Group Admin and Operations on office administration, travel bookings, and logistics in accordance with EEMY’s staff travel policy.

•Manage correspondence, filing, and document distribution across the Corporate Services function.

•Assist with customer, contractor, vendor and/or supplier administration - maintaining contact records, tracking agreements, and coordinating renewals.

•Handle ad hoc administrative tasks as directed by the General Counsel or the Managing Director.


What We Are Looking For

Essential

•Diploma or degree in Law, Legal Studies, Business Administration, or a related discipline. Paralegal certification or equivalent legal support training is strongly preferred.

•Minimum 2 to 4 years of relevant experience in a legal, corporate secretarial, compliance, HR, or administrative support role.

•Strong document management instincts - organized, precise, and comfortable managing multiple document types and version histories simultaneously.

•Understanding of basic legal and compliance concepts - contracts, regulatory correspondence, corporate secretarial obligations, and document confidentiality.

•Familiarity with HR administration processes - employment documentation, onboarding, leave and claims.

•Confident written and verbal communication in English and Bahasa Malaysia.

•High attention to detail and a low tolerance for error in documentation and filing.

•Proficiency in Microsoft 365 - Word, Excel, PowerPoint, Outlook, and Teams.

•Ability to work independently, manage competing priorities, and follow up without being chased.


Advantageous

•Experience in a renewable energy, infrastructure, or professional services environment.

•Familiarity with SSM processes, statutory filings, and company secretarial practice in Malaysia.

•Working knowledge of Malaysia's Personal Data Protection Act (PDPA).

•Experience developing or maintaining policy and procedure documents.

•Mandarin language proficiency - written and spoken.

•Experience with document management systems or SharePoint.
