Job Description

Responsibilities

Role Description Administrative Support

·      Provide general administrative assistance to the Finance Department.

·      Assist in data entry and updating financial records in the accounting system and spreadsheets.

·      Prepare, photocopy, scan, and organize finance-related documents.

·      Support the department in daily operational and clerical tasks.

·      Coordinate with internal departments regarding finance documentation when required.


 Filing and Document Management

·      Maintain systematic filing of finance documents, including invoices, payment vouchers, receipts, and supporting documents.

·      Ensure all documents are properly labelled, indexed, and archived for easy retrieval.

·      Assist in organizing and maintaining both physical and electronic filing systems.

·      Retrieve and compile documents for audits, management reviews, or internal reference.

 

 Payment Voucher Processing

·      Assist in the preparation and issuance of payment vouchers (PV) in a timely and accurate manner.

·      Verify supporting documents attached to payment vouchers for completeness and compliance.

·      Ensure proper approval documentation is obtained before processing payment vouchers.

·      Record and track payment voucher status and maintain payment records.

·      Assist in distributing approved payment vouchers to relevant parties and maintaining documentation records.

 

 Compliance and Record Keeping

·      Ensure finance documents are maintained in accordance with company policies and procedures.

·      Maintain confidentiality of financial information and company records.

·      Assist in ensuring proper documentation for audit and compliance purposes.

 

 Learning and Development

·      Participate in training and development activities under the PROTÉGÉ Programme.

·      Gain exposure to finance and accounting processes, procedures, and best practices.

·      Undertake any other duties assigned by the Finance Manager or Supervisor from time to time. 


Qualifications

·      Sijil Pelajaran Malaysia (SPM), Diploma or Degree in Accounting, Finance, Business Administration, or related field.

·      Fresh graduates are encouraged to apply.

·      Basic knowledge of Microsoft Office applications (Excel, Word, Outlook).

·      Good organizational skills and attention to detail.

·      Ability to maintain confidentiality and handle sensitive information.

·      Good communication and interpersonal skills.

·      Willingness to learn and work in a team environment.
