We are seeking a proactive and detail-oriented Inventory Planning & Purchasing Executive to support inventory replenishment, procurement activities, and supplier coordination. This role is responsible for ensuring optimal stock availability, managing purchasing processes, monitoring supplier performance, and maintaining accurate inventory records to support business operations.
Key Responsibilities
Inventory Planning & Replenishment
- Plan and manage inventory replenishment based on demand forecasts and business requirements.
- Monitor inventory levels to ensure adequate stock availability while minimizing excess inventory.
- Track incoming shipments and coordinate with suppliers to ensure timely delivery of goods.
- Review replenishment reports and recommend reordering actions to maintain healthy inventory levels.
- Update and monitor incoming delivery schedules and inventory status reports.
- Support inventory optimization initiatives to improve stock turnover and operational efficiency.
Purchasing & Supplier Management
- Prepare and process purchase requisitions, purchase orders, and related procurement documentation.
- Liaise with suppliers to obtain quotations, purchase order confirmations, invoices, delivery orders, and other required documents.
- Monitor supplier performance and support negotiations related to pricing, lead times, minimum order quantities, and service levels.
- Maintain procurement reports, including purchase order tracking, supplier spend analysis, and purchasing trends.
- Identify and track cost-saving opportunities arising from procurement activities.
Product & Contract Administration
- Support the creation, maintenance, and revision of product codes and bill of materials (BOM).
- Assist in reviewing and managing supplier contracts, ensuring documentation is properly maintained and updated.
- Ensure sustainability and compliance requirements are reviewed and met for sourced products.
- Maintain accurate records and documentation within inventory and procurement systems.
Inventory Control & Reporting
- Prepare and maintain inventory and procurement reports for management review.
- Coordinate inventory write-off requests for defective, obsolete, slow-moving, or expired products, ensuring appropriate approvals are obtained.
- Maintain accurate historical purchasing and inventory records.
- Participate in cross-functional meetings to address inventory, procurement, and supply planning matters.
General Responsibilities
- Ensure confidentiality of company information and business data.
- Support continuous improvement initiatives within procurement and inventory management processes.
- Perform other duties and projects as assigned.
Qualifications & Requirements
- Diploma or Bachelor's Degree in Supply Chain Management, Business Administration, Logistics, Procurement, or a related field.
- 3–5 years of experience in inventory planning, material planning, purchasing, procurement, supply chain, or a related role.
- Experience working with ERP or inventory management systems is preferred.
- Strong understanding of inventory control and procurement processes.
- Proficient in Microsoft Office applications, particularly Excel.
- Strong analytical, problem-solving, and organizational skills.
- Good communication and stakeholder management skills.
- Ability to manage multiple priorities and work effectively in a fast-paced environment.
- Detail-oriented with a high level of accuracy in reporting and documentation.
