POSITION OVERVIEW
We are implementing Darwinbox, an end-to-end HR Management System, across our organisation of 1,800 employees. This is a critical transformation project covering all HR modules from hire to retire, including Core HR, Recruitment, Onboarding, Time & Attendance, Payroll, Performance Management, Compensation & Benefits, and Learning & Development.
We are seeking a dedicated Implementation Support Specialist to work closely with HR business owners, functional leads, and the project team to ensure successful delivery. This role will focus on the tactical execution of project tasks, allowing our business owners to provide strategic direction while managing their operational responsibilities.
KEY RESPONSIBILITIES
Data Migration Support (30%)
- Extract data from legacy HR systems (SAP SuccessFactors) and spreadsheets
- Cleanse and standardise employee data according to defined data mapping rules
- Validate data quality and identify gaps, inconsistencies, and duplicates
- Populate Darwinbox migration templates with accurate, clean data
- Perform data reconciliation between source systems and Darwinbox
- Support mock data migration exercises and track defects
- Document data transformation rules and maintain data dictionaries
Testing Support (30%)
- Develop detailed test scripts based on business process requirements and user stories
- Prepare test data sets for various testing scenarios (positive, negative, edge cases)
- Execute System Integration Testing (SIT) and User Acceptance Testing (UAT)
- Document test results, capture screenshots, and log defects in the tracking system
- Coordinate with business owners to clarify expected vs. actual results
- Perform regression testing after system fixes or configuration changes
- Support payroll parallel run testing and reconciliation activities
Configuration Support (15%)
- Assist functional leads in documenting business requirements and process flows
- Help configure system workflows, approval matrices, and business rules under supervision
- Maintain configuration documentation and track changes
- Support integration testing between Darwinbox modules and third-party systems (e.g., Disprz LMS)
- Create and maintain system configuration trackers
Training & Change Management Support (15%)
- Assist in the development of training materials, user guides, and quick reference cards
- Set up training environments and prepare training data
- Coordinate training logistics (scheduling, venue, access provisioning)
- Support train-the-trainer sessions and end-user training delivery
- Capture training feedback and update materials accordingly
- Support creation of change management communications
Project Administration (10%)
- Maintain project documentation (meeting minutes, action logs, decision registers)
- Track project milestones, deliverables, and dependencies
- Coordinate meetings between business owners, the implementation team, and vendors
- Follow up on outstanding action items and escalate delays
- Prepare status reports and dashboards
- Support project governance activities
REQUIRED QUALIFICATIONS
Essential:
- Bachelor's degree in Human Resources, Business Administration, Information Systems, or related field
- 2+ years of experience in HR operations, HRIS support, or system implementation projects
- Experience in SAP SuccessFactors, data migration, and Go-Live Support.
- Strong understanding of end-to-end HR processes (recruitment, onboarding, time management, payroll, performance, offboarding)
- Excellent MS Excel skills (VLOOKUP, pivot tables, data validation, conditional formatting)
- Experience with data analysis, data cleansing, and data migration activities
- Strong attention to detail and ability to work with large data sets accurately
- Excellent documentation and written communication skills
- Ability to write clear, detailed test cases and process documentation
- Proven ability to juggle multiple tasks and meet tight deadlines
- Team player with ability to work collaboratively with diverse stakeholders
Highly Desirable:
- Previous experience with HRIS implementation projects (any system)
- Familiarity with Darwinbox or similar cloud-based HR systems
- Experience with SQL or database queries
- Understanding of payroll processing and statutory compliance
- Experience with test management tools
- Business process mapping or documentation experience
