Job Summary
The ISO Executive is responsible for maintaining, monitoring, and continuously improving the company's Integrated Management System (IMS) in line with ISO 9001 (Quality), ISO 14001 (Environmental), ISO 45001 (Occupational Health & Safety), and SIRIM 55 requirements. This role also supports certification and compliance efforts across the group's multinational operations, ensuring consistency of management systems across all country offices/sites. The position ensures the organization remains audit-ready, compliant, and that daily operations are aligned with certification standards.
Key Responsibilities
Audit Coordination & Compliance
- Liaise with external certification bodies/auditors on audit scheduling, preparation, and logistics
- Coordinate audit set-up, including documentation readiness, venue arrangement, and auditee scheduling across departments
- Act as the main point of contact during external audits, guiding auditees through the audit process
- Track, monitor, and close out audit findings and non-conformances (NCRs)
- Drive corrective and preventive action (CAPA) implementation and ensure closure within deadlines
- Maintain audit records, certificates, and renewal timelines
Multinational Certification & Compliance
- Coordinate ISO 9001, 14001, 45001, and SIRIM 55 (or equivalent local standards) certification across all group entities/subsidiaries in different countries
- Ensure consistency and alignment of management system documentation, processes, and audit schedules across multi-country operations
- Liaise with regional/country offices and local auditors to support certification audits at overseas sites
- Track certification status, expiry dates, and renewal requirements across all countries of operation
- Support harmonization of policies and procedures to meet both group-wide standards and local regulatory requirements
- Coordinate cross-border communication for audit findings, corrective actions, and best practice sharing between sites
Objectives, Targets & Implementation
- Implement and execute QHSE objectives and targets according to approved management programs/plans
- Monitor progress of objectives and targets against approved timelines, and escalate deviations to management
- Ensure resources, actions, and responsible parties for each objective/target are tracked and updated regularly
- Prepare periodic reports on the achievement status of objectives and targets for management review
Operations & Standards Implementation
- Streamline daily operations to align with ISO 9001, ISO 14001, ISO 45001, and SIRIM 55 requirements
- Develop, review, and update SOPs, work instructions, policies, and forms
- Conduct internal audits and gap analyses across departments and entities
- Support risk assessments, hazard identification, and environmental aspect/impact analysis
- Plan and support management review meetings (agenda, minutes, action tracking)
- Organize ISO awareness and refresher training for employees across locations
- Coordinate with department heads and country teams to embed ISO requirements into daily workflows
Requirements
- Bachelor’s degree in engineering, Quality Management, Occupational Safety & Health, Environmental Science, or related field
- 1–2 years of relevant experience in QHSE/ISO management systems (experience in energy, oil & gas, or construction sectors is an advantage)
- Experience supporting multi-site or multi-country certification audits is highly preferred
- Certified Internal Auditor for ISO 9001 / 14001 / 45001 (or willingness to be trained)
- Familiarity with SIRIM certification scheme requirements
- Strong documentation, organizational, and follow-up skills
- Good communication skills to liaise across departments, country offices, and external auditors
- Comfortable working across time zones and coordinating with international teams
- Proficient in MS Office (Word, Excel, PowerPoint)
- Detail-oriented, proactive, high-integrity and able to work independently
