Job Description

Responsibilities

Responsibilities and Duties:

  • To be the liaison person between the Project Managers, contractors and suppliers.
  • Coordinate and attend meeting to record and prepare meeting minutes with vendors.
  • Assist in the tracking and documenting of Project documentation for the department.
  • Follow up on correspondence and outstanding requests for resolution.
  • To follow up on circulation and signatory of memo, letters, correspondences, sign-off etc.
  • To assist with project management duties - oversee and perform administrative functions concerns with a project, update project calendar, call contractors, consultants and relevant parties for the projects.
  • Facilitate and coordinate tendering activities - Preparation of tender documents.
  • To manage department's day-to-day activities and provide general administrative support (e.g. coordinate department's events, meetings, communications, handle information requests, etc).
  • To handle general office administrative works such as upkeep of department's facilities/equipment/stationeries to ensure availability as and when needed and maintain a proper filing system.
  • To perform administrative tasks - maintain information files, process paperwork, prepare reports, retrieve reference materials and documents, updates department's databases, lists and files to ensure completeness and accuracy.
  • To assist department's in managing calendars, making travel, meeting & event arrangement.
  • To be the liaison person and coordinator of the department with other departments within the organization.
  • Assist in verification of claims for the department - medical, entertainment, travelling, etc.
  • To implement all relevant policies, procedures and work instructions as so defined in the Company’s Quality Management System.
  • Any other duties as and when assigned from time to time by the superior/management.

JOB REQUIREMENTS:

Qualifications: Possesses at least Diploma in any field.

Experience: At least 2 years of relevant working experience in the related field is required.

Technical Skills:

  • Work independently with minimum supervision.
  • Self-motivated with excellent interpersonal skills.
  • Detailed, efficient and result oriented.
  • Computer literate and well versed in Microsoft Office.

Job Type: Full-time

Pay: RM2,500.00 - RM3,500.00 per month
