Job Description

Responsibilities

Project Administration

  • Provide administrative support to Project Managers and Site Supervisors.
  • Prepare and maintain project documentation, including contracts, purchase orders, variation orders, quotations, and project reports.
  • Coordinate project submissions, work schedules, and progress updates.
  • Monitor project timelines and assist in tracking project deliverables.
  • Attend project meetings and prepare meeting minutes when required.
  • Liaise with clients, consultants, subcontractors, suppliers, and internal departments.
  • Maintain proper filing and documentation for all project records.
  • Assist in preparing claims, progress reports, and project close-out documentation.

Purchasing & Procurement

  • Source, obtain, and evaluate quotations from suppliers and vendors.
  • Prepare Purchase Orders (POs) and ensure compliance with company procurement procedures.
  • Procure electrical materials, equipment, tools, and site consumables according to project requirements.
  • Coordinate delivery schedules to ensure materials arrive on site on time.
  • Monitor stock levels and maintain procurement records.
  • Follow up with suppliers on delivery status and resolve supply-related issues.
  • Verify supplier invoices, delivery orders, and purchase documentation.
  • Support cost control initiatives by obtaining competitive pricing and negotiating with suppliers.

Requirements

  • Diploma or Degree in Business Administration, Supply Chain Management, Engineering, or related discipline.
  • Minimum 2 years of relevant experience in project administration and procurement.
  • Candidates with experience in Electrical, Construction, M&E, or Engineering industries will be highly preferred.
  • Proficient in Microsoft Office applications, especially Excel and Word.
  • Experience using ERP, accounting, or procurement systems is an advantage.
  • Strong organizational, communication, and coordination skills.
  • Able to work independently and manage multiple tasks simultaneously.
  • Meticulous, responsible, and able to meet project deadlines.
