Job Description

Responsibilities

Job Summary

You will support IT project management by compiling and organizing project information, coordinating stakeholder and vendor communications, tracking milestones, and assisting in quality control and post-implementation activities to drive project success.


Key Responsibilities

  • Schedule and coordinate meetings with stakeholders and vendors to ensure timely communication and alignment
  • Prepare detailed meeting agendas and document minutes to capture key discussions and action items
  • Follow up on action items from meetings to ensure timely completion and accountability
  • Prepare regular status updates for the Project Manager to maintain project visibility
  • Maintain and organize all project-related documentation, ensuring proper version control and accessibility
  • Create and update project documentation to reflect current project status and changes
  • Serve as a liaison between the Project Manager and internal stakeholders to facilitate clear communication
  • Distribute project updates and communications effectively to keep all parties informed
  • Address and respond to routine project-related queries to support smooth project progress
  • Monitor project timelines and flag potential delays to the Project Manager for proactive resolution
  • Track milestone achievements and deliverables to ensure project objectives are met on schedule
  • Assist in coordinating quality assurance activities to uphold project standards
  • Support the user acceptance testing (UAT) process by collecting and organizing feedback for evaluation
  • Log and track change requests, assessing their impact and communicating approved changes to relevant parties
  • Track vendor deliverables and performance to support vendor management
  • Coordinate meetings and communications with vendors to maintain effective collaboration
  • Support the coordination of training sessions for internal teams to facilitate knowledge transfer
  • Assist in developing training materials in collaboration with vendors to enhance training effectiveness
  • Facilitate the security onboarding of new vendor team members to ensure compliance and access control


Required competencies and certifications

  • Min Diploma in Information Technology (IT), Computer Science, or a related field
  • Minimum of two (2) years of experience in IT project management
  • Proficiency in Microsoft Word, Excel, and Outlook


Preferred competencies and qualifications

  • Experience with project management tools such as Confluence and Jira
