The Role

We are seeking a proactive and detail-oriented HR Admin Assistant to support day-to-day HR operations across our portfolio companies. This role will cover HR administration, payroll, statutory compliance, and recruitment coordination, while gaining exposure to broader HR initiatives in a fast-growing environment.


Recruitment and Onboarding

  • Support end-to-end recruitment processes, including job postings, candidate screening, and interview coordination
  • Coordinate onboarding activities to ensure a smooth employee experience
  • Maintain candidate pipelines and recruitment trackers


HR Administration & Payroll

  • Maintain accurate employee records, contracts, and HR documentation
  • Process monthly payroll, ensuring accuracy and timeliness
  • Manage leave tracking, attendance, and employee data within HR systems
  • Assist in preparing HR letters, reports, and internal documentation


Statutory & Compliance

  • Handle statutory submissions including EPF, SOCSO, EIS, and PCB
  • Support income tax matters including employee filings via MyTax
  • Ensure compliance with local labour laws and regulatory requirements
  • Liaise with external vendors, government bodies, and auditors when required


Employee Engagement & Culture

  • Assist in organizing employee engagement activities and internal events
  • Support employee feedback initiatives such as surveys and check-ins
  • Coordinate communication for HR programs and company updates


HR Processes & Projects

  • Assist in updating HR policies, SOPs, and employee handbooks
  • Support implementation and optimisation of HR systems and processes
  • Contribute to HR projects and reporting for data-driven decision making


Office Administration

  • Support any ad-hoc general office administrative matters including supplies, vendors, and facilities coordination
  • Assist in maintaining a well-organised and efficient office environment

Requirements

Experience & Education

  • Diploma or Degree in Human Resources, Business Administration, or related field
  • At least 1 year of relevant HR/admin experience preferred
  • Experience in payroll processing and statutory submissions is required
  • Hands-on experience with HRMS or payroll systems is preferred


Skills & Attributes

  • Strong attention to detail and organisational skills
  • Good communication and interpersonal abilities
  • Proactive, reliable, and able to manage multiple tasks independently
  • Comfortable working in a fast-paced, evolving start up environment
  • Proficient in Microsoft Office (Excel, Word, PowerPoint)
