About the role

Artemiz Strategic Advisory Sdn Bhd is seeking a Personal Assistant to join our team in Kuala Lumpur on a full-time basis. This is a pivotal administrative role that will provide high-level support to senior management, ensuring the smooth operation of day-to-day activities and contributing to the strategic objectives of the organisation. The Personal Assistant will be instrumental in managing schedules, coordinating communications, and supporting key business initiatives whilst maintaining the highest standards of professionalism and discretion.

What you'll be doing

  1. Managing calendars and scheduling for senior executive, including meeting coordination, travel arrangements, and appointment prioritisation

  2. Handling sensitive and confidential correspondence, emails, and documentation with complete discretion

  3. Preparing reports, presentations, and meeting materials to support executive decision-making

  4. Managing expense reports, invoicing, and financial documentation in accordance with company policies

  5. Liaising with internal departments and external stakeholders to facilitate business operations

  6. Maintaining organised filing systems and databases to ensure efficient information retrieval

  7. Providing administrative support for strategic projects and business development initiatives

  8. Assisting with travel planning and logistics for domestic and international trips

  9. Performing general office management duties to ensure a productive working environment

What we're looking for

  1. Proven experience as a Personal Assistant, Executive Assistant, or similar senior administrative role within a professional business environment

  2. Excellent organisational and time management skills with the ability to prioritise multiple tasks effectively

  3. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications

  4. Outstanding written and verbal communication skills, with the ability to communicate professionally with stakeholders at all levels

  5. Strong discretion and confidentiality awareness, with the ability to handle sensitive information appropriately

  6. Exceptional attention to detail and accuracy in all administrative tasks

  7. Proactive problem-solving abilities with a flexible and adaptable approach to changing priorities

  8. Professional presentation and etiquette, with strong interpersonal skills

  9. Ability to work independently and take initiative whilst also functioning effectively as part of a team

  10. Knowledge of executive support best practices and administrative procedures

  11. Preferred: Experience in strategic advisory, consulting, or professional services sectors

  12. Preferred: Proficiency in additional languages, particularly Mandarin or other regional languages
