Responsibilities
1. Recruitment & Talent Acquisition
Manage full-cycle recruitment for:
Dental nurses
Front desk/customer service
HQ/admin staff
Coordinate job postings, candidate sourcing, interview scheduling, screening, and onboarding
Work closely with branch PICs and management on manpower planning
Build recruitment pipelines and maintain candidate databases
Reduce hiring turnaround time and manpower gaps
Coordinate employer branding and recruitment campaigns
2. Onboarding & Employee Lifecycle
Coordinate onboarding and orientation for new hires
Ensure proper documentation and employee records are maintained
Monitor probation and confirmation processes
Conduct exit interviews and resignation clearance
Track staff movement, transfers, promotions, and contract renewals
3. Payroll & HR Administration
Support payroll preparation and attendance verification
Monitor leave records, overtime, MC, allowances, claims, and staff benefits
Coordinate statutory submissions:
EPF
SOCSO/PERKESO
EIS
PCB/LHDN
Ensure HR documentation accuracy and confidentiality
Maintain employee database and HR filing systems
4. Employee Relations & Disciplinary Management
Handle employee grievances and workplace conflicts
Support disciplinary investigations, warning letters, show cause letters, and counselling sessions
Ensure fair and proper HR process documentation
Assist management in handling misconduct, absenteeism, and performance issues
Promote positive workplace culture and employee engagement
5. Performance Management
Coordinate KPI and appraisal exercises
Monitor probation evaluations and staff performance reviews
Assist in Performance Improvement Plan (PIP) implementation
Support branch managers in performance coaching and documentation
6. Training & Development
Coordinate staff training and development programs
Track mandatory training completion
Support HRDC claim submissions and training records
Identify operational skill gaps and recommend development plans
7. Policy, SOP & Compliance
Ensure compliance with company policies and labour regulations
Assist in drafting and updating:
HR policies
SOPs
Employee handbook
Conduct branch HR audits and compliance checks
Liaise with government authorities when necessary
8. Multi-Branch HR Operations
Prepare and review monthly duty roster
Support manpower needs across 10 outlets
Coordinate urgent replacement hiring
Manage branch recruitment priorities
Ensure minimal manpower disruption to clinic operations
Monitor staffing allocation and operational manpower efficiency
Support branch PICs with HR-related matters
Escalate high-risk manpower issues to management
