Responsibilities
JOB DESCRIPTION
1. Database & CRM Management
– Update active/dormant agent status
– Maintain recruitment & onboarding progress dashboard
– Ensure daily data is accurate and complete
– Review and clean data (data hygiene)
Output: Dashboard is consistently updated daily.
2. New Agent Onboarding
– Check ID and group access
– Send welcome kit and important information
– Follow up via automation D1–D3
– Ensure 80% of new agents become active within 3 days
3. Event / Class Coordination
– Schedule and broadcast onboarding classes
– Prepare links, reminders, and attendance forms
– Record attendance and submit the report within 48 hours
– Follow up with participants after the class
4. Communication & Announcement
– Prepare memos, posters, and promotional information for agents
– Distribute information on time, at least 3–5 days before the promotion
– Ensure all HQ → agent groups are properly updated
5. Admin & Reporting
– Prepare weekly and monthly reports
– Record agent data, funnels, classes, and feedback
– Submit reports every Friday before 5pm
6. Support & Ticket Filtering
– Respond to basic agent inquiries
– Filter issues before escalating to TEC
– Maintain the FAQ for agents
– Self-resolution target: ≥70% without needing TEC assistance
Skills & Requirements:
1. Organized & Detail-Oriented
The candidate must be structured, able to manage data, class schedules, agent onboarding, and reporting without missing anything. Enjoys checklists and precise work.
2. Fast Learner & Quick to Act
The role involves a lot of coordination and follow-up. The candidate must respond quickly and adapt fast when there are changes or urgent tasks.
3. Clear & Proactive Communication
Daily communication with the team, HQ, and agents is required. The candidate must:
– Be able to explain information concisely
– Not be afraid to ask or clarify
– Proactively provide updates when there is progress
4. Friendly, Patient & Service-Minded
This role handles many agent inquiries and issues. The candidate needs to be patient, polite, and able to handle repeat questions without stress.
5. Data-Driven & Basically Tech-Savvy
Familiar with:
– Google Sheets & Google Drive
– WhatsApp automation
– Webinar platforms (Zoom)
– Basic CRM systems
No need to be an IT expert, but must learn quickly.
6. Team Player & Able to Follow Instructions
This role supports the Team Agent Coordinator (TEC). The candidate must:
– Follow SOPs
– Handle last-minute tasks
– Provide consistent status updates
7. Able to Work Independently
Even though they work with a team, the candidate must be independent, not need repeated reminders, and able to find solutions on their own.
8. Candidate must possess at least Diploma or Bachelor's Degree in Business/ Business Management/ Administrative or equivalent.
9. Required language(s): Bahasa Malaysia, English
